Administrative Assistant / Virtual Assistant — Construction & Trades (Ongoing, US-based)

We place experienced administrative assistants with owner-operated construction businesses — general contractors, excavating, landscaping, custom home builders, and remodelers. We're looking for one reliable, US-based assistant to support a client on an ongoing basis, with room to grow into more hours and more clients. This isn't a role where someone hands you a task list every morning. Our clients are owners who are in a truck all day, growing a business faster than their paperwork can keep up. They need someone who sees what needs doing and does it. Fair warning about the work: the schedule changes because it rained. The owner answers texts, not emails, and sometimes not for a few hours because he's on a job site. Everything feels urgent and very little is written down. If bringing order to that sounds satisfying rather than stressful, you'll do well here. What you'd do Manage the owner's inbox and calendar Follow up on bids and estimates — and notice when no one has Coordinate subcontractor scheduling Track certificates of insurance, lien waivers, permits, and inspections Get change orders in writing before they become an invoicing argument Keep material orders and lead times from slipping Keep homeowners informed about what's happening at their project Build the simple systems the business doesn't have yet Who we're looking for Solid administrative or operations experience (not entry-level) Construction, trades, or field-services experience is a strong plus — if you already know what a COI, a change order, or a bid pipeline is, mention it QuickBooks experience is a plus — invoicing, tracking, and basic bookkeeping tasks Genuine initiative — you can run without daily direction Comfortable working directly with a business owner, including telling them something they don't want to hear Confident in Google Workspace (Gmail, Calendar, Drive) and quick to pick up new tools Reliable follow-through above everything else Details Hours: 10–15 hours/week to start, with room to grow Availability: Must be available Monday through Friday, 9:00 AM to 5:00 PM MST Location: US-based, fully remote Type: Ongoing / long-term To apply Skip the generic cover letter.
