Airtable Specialist Needed to Build Membership Management Database

We are a professional nonprofit membership organization seeking an experienced Airtable specialist to build and migrate our membership directory into a streamlined Airtable-based membership management system. We currently maintain membership information through an existing directory/database and would like to transition to Airtable to make membership tracking, verification, updates, and administrative management more efficient. Scope of Work The selected freelancer will: Review our current membership data and administrative workflow Recommend an appropriate Airtable structure Build a clean, intuitive Airtable membership database Import and organize existing membership records Create fields and workflows for multiple membership classifications Track membership status, eligibility/verification status, and relevant documentation Create useful administrative views, such as: Active members Pending applications/verification Incomplete records Membership categories Members requiring follow-up Develop forms for new member information and/or member profile updates Set up appropriate Airtable automations where useful Identify opportunities to reduce repetitive manual administrative work Configure permissions/access appropriately for organizational leadership and administrative staff Provide a brief handoff/training session and documentation so our administrative team can maintain the system independently Ideal Candidate We are looking for someone who: Has demonstrated experience building Airtable membership, CRM, association, or nonprofit databases Understands relational database structure and Airtable linked records Can recommend a simple solution rather than unnecessarily over-engineering the system Has experience with Airtable forms, interfaces, views, permissions, and automations Is comfortable cleaning and migrating existing data Can build a system that a nontechnical administrator can maintain Communicates clearly and can explain the reasoning behind the proposed structure Experience working with professional associations, membership organizations, medical organizations, or nonprofits is a plus. Deliverables At completion, we would like: Fully functioning Airtable membership management system Existing membership data migrated and organized Administrative views and forms Basic automations as agreed upon Recommended workflow for ongoing membership administration Brief written documentation/SOP One virtual handoff/training session Project Structure This is intended to be a one-time Airtable build and migration project, with the possibility of occasional future support as needed.
