Build B2B Ordering Portal & CRM with Role-Based Access & Payment Integration

Project Overview We are CellGen Wellness, a wellness agency connecting clinics, medspas, and surgical centers with peptide manufacturers. We operate on a markup model and need a custom B2B web application / client portal to streamline our order workflow, automate pricing margins, and manage relationships across four user groups: Clinicians, Sales Reps, CellGen Admins, and Manufacturers. We are looking for an experienced developer specializing in low-code/no-code platforms (e.g., Softr, Bubble, Glide, Airtable, Supabase, Make.com/Zapier) or custom full-stack solutions to build a functional, secure, and cost-effective system. Core Features & Technical Requirements 1. Multi-Tiered Role-Based Access Control (RBAC) Clinicians / Medical Centers: Secure login or magic link access to a branded ordering portal. Access to a product catalog showing CellGen’s retail markup prices only. Ability to build a cart, place orders, make payments, and view past order history and shipping tracking. Sales Representatives: Unique login with restricted view permissions. View only their assigned clinicians, orders placed by those accounts, order statuses, and their commission metrics. Hidden: Overall company-wide revenue, profit margins, and other reps' accounts. CellGen Admins: Master administrative dashboard. Full visibility over all accounts, orders, wholesale costs, retail pricing, gross profit margins, and sales rep commissions. One-click order approval/dispatch trigger. Manufacturer Integration: Automated order dispatch via email trigger or API/Webhook upon admin approval. Transmits item list, quantities, and clinician shipping details without revealing retail prices or internal margins. 2. Payment Processing & Checkout Workflow Stripe (or Authorize.Net) Integration: Embedded payment portal or automated dynamic payment link generation upon order placement. Payment must clear before an order status updates to "Approved for Fulfillment." Support for credit card processing and ACH/bank transfer options. 3. Automated Margin & Commission Tracking Dynamic database calculations for every transaction: "Gross Margin"="Retail Price"-"Wholesale Cost" "Sales Rep Commission"="Retail Price"×"Commission Rate" Reporting dashboard for CellGen admins to review daily/monthly profitability and pending rep payouts. 4. Order Management & Notifications Order status lifecycle: Draft → Payment Pending → Paid → Sent to Manufacturer → Shipped → Completed. Automated email notifications for order confirmations, shipping updates, and tracking numbers sent to clinicians and sales reps via Make.com or Zapier. Preferred Tech Stack (Flexible based on developer recommendation) Front-End Portal: Softr, Bubble.io, Glide, or Retool. Database Backend: Airtable, Supabase, or PostgreSQL. Automation: Make.com, Zapier, or custom Webhooks. Payments: Stripe API. Field-mapping interface during import to ensure incoming CSV columns match database schema. Reporting & CSV Export: One-click "Export to CSV/Excel" functionality across key data tables (Orders, Financial Reports, Commissions, Clinician Directories). Role-restricted exports: Sales Reps can only export data for their assigned accounts; Admins can export master financial and fulfillment metrics. 6. Custom API & Webhook Integration Capabilities Inbound & Outbound Webhooks: * Capability to receive webhook events from external platforms (e.g., payment confirmations, automated shipping tracking updates from FedEx/UPS/DHL). RESTful API Endpoint Access: Expose secure API endpoints (using API keys or OAuth) so third-party platforms (accounting software like QuickBooks, EHR systems, or custom logistics software) can securely query orders or sync records.
