About the engagement We are a privately held holding company in the building products sector, headquartered in the Midwest. Five entities: a parent, two operating companies, a real estate holding entity, and a shared services entity. Combined revenue $3M to $5M. All books live in QuickBooks Online. Entity names and financial detail are shared after an NDA and an initial call. What we need A full cleanup covering April 1, 2025 to present across all five entities. We have done real preparation. The new chart of accounts is built for all five entities, and we have extracted every transaction into a working spreadsheet with a proposed account for each one. That proposal came from an operator, not an accountant. We need someone with accounting judgment to review it, correct it, set policy where none exists, and stand behind the result. This is not a data entry role. Scope 5 entities Roughly 8,000 to 9,000 transactions across the period 16-month cleanup window 10 bank accounts, 15 credit cards, 2 loans Volume is concentrated in the two operating companies Work to be done Review our proposed transaction coding and correct it Post all transactions to the new chart of accounts Reconcile all 27 bank, credit card, and loan accounts Reconcile intercompany balances so due to and due from agree across entities Establish a written capitalization policy and clean the fixed asset register to match Configure class tracking at the manufacturing entity for job-level costing Tie opening balances at April 1, 2025 to supporting records Deliverables Clean, reconciled books across all five entities A written summary of what you changed, what you assumed, and what remains open A written capitalization policy A short process document so our team keeps the books current going forward Required CPA, or senior controller experience running a full set of books QuickBooks Online Advanced ProAdvisor Multi-entity experience with real intercompany work, not single-company bookkeeping Job costing experience in manufacturing or construction Willingness to tell us we are wrong and explain why US-based, with daily overlap in Central Time References from two similar engagements Nice to have Experience with a manufacturing ERP Experience supporting a private equity backed or acquisitive company Familiarity with purchase accounting and opening balance sheets Timeline We start this week. In your proposal, give us a realistic completion date and the milestones you would hit along the way. We will hold you to them. Budget Propose two options: Fixed price for the full scope Hourly rate with an estimated hour range and a not-to-exceed cap Tell us which one you recommend and why.
