We're looking for a detail-oriented Project Coordinator to keep our operations running smoothly and support cross-functional teams as we grow. This role is ideal for someone who thrives on structure, loves optimizing workflows in ClickUp, and can communicate flawlessly with clients, consultants, and stakeholders across time zones. You'll be the operational backbone of our team, managing timelines, documenting processes, and making sure nothing falls through the cracks. What You'll Do Maintain and improve our project management workspace (ClickUp), building templates, automations, dashboards, and standardized workflows for onboarding, offboarding, invoicing, and task tracking. Coordinate day-to-day project execution across distributed teams, keeping timelines, deliverables, and priorities on track. Serve as a primary point of contact between clients, consultants, and internal stakeholders, proactively communicating status updates, risks, and next steps. Develop and maintain clear SOPs and documentation to make onboarding and daily operations faster and more consistent. Run or support regular stakeholder meetings for pipeline visibility, risk management, and reporting. Catch inconsistencies, gaps, and errors before they become problems; this role requires sharp attention to detail. What We're Looking For 3+ years of experience in project coordination, project management, or client success. Remote work experience strongly preferred. Solid working knowledge of ClickUp (or a similar PM tool like Asana, Trello, or Notion), including building out workflows, automations, custom fields, and dashboards, not just using it as a task list. Working knowledge of HubSpot for CRM, pipeline tracking, and/or client communication. Exemplary written and spoken English: this role requires flawless, professional, native-level or near-native fluency for all client and stakeholder communication. This is non-negotiable. Exceptional attention to detail: comfortable managing multiple moving parts without letting details slip. Strong process-documentation skills: able to translate a messy workflow into a clear, repeatable SOP. Proven ability to manage client relationships with a proactive, solutions-oriented approach. Comfortable working independently in a distributed/remote team environment, across time zones. Familiarity with tools such as Google Workspace/Microsoft 365, Slack, Zoom, and AI tools (ChatGPT, Gemini) for productivity.
