Website Audit + Critical Fixes — Contractor Debrief and Scope of Work Project Scope: 1. We operate two semi-related (unique but sister brand) Webflow websites in the air ambulance / medical transport industry and are seeking contractor quotes for a structured audit of both sites. 2. The goal is to identify critical technical, compliance, user experience, SEO, accessibility, and conversion issues, then provide a clear 90-day roadmap focused on “low-hanging fruit” and high-impact fixes that better support lead generation and operational needs. 3. This is not a full redesign request. We are looking for an actionable audit, a prioritized punch list, and pricing for approved critical fixes. 4. Contractors should quote Phase 1 separately from Phase 2 so we can evaluate the audit cost independently from implementation work. Audiences visiting our websites: • These websites service both B2C and B2B audiences. • On the B2C side, consumers (patients/family members/caregivers) would come to the website if they are in need of services for potential patients. • On the B2B side, hospital facilities and case managers would reach out on behalf of a patient in that facility to have their transportation coordinated. Lead Capture: • For both audiences, the lead capture path is either 1) inbound phone call or 2) form fill submission or 3) chat submission. • Lead generation is the bread & butter of servicing end-users, so the criticality of our user journey is centered around reducing friction and moving prospects further in-funnel and into leads by way of Calls, Form Fills or Chat. Audit Scope: The written audit report should cover the following areas for both websites: • Core website infrastructure & best practices • Analytics and tracking review, including GA4, conversion events, form submissions, call tracking, thank-you pages, and any broken or missing lead attribution paths • Compliance (healthcare space – HIPAA; European Privacy – GDPR; US Privacy CCPA; Aviation - FAA) • Accessibility review against practical WCAG 2.1 AA / ADA-oriented best practices, including alt text, color contrast, keyboard navigation, form labels, focus states, heading structure, and reduced-motion considerations • Key areas of friction preventing lead conversion (lead generation is a primary business goal) • Page speed / Core Web Vitals • Broken links / broken CTAs • Mobile responsiveness issues • SEO basics (meta titles/descriptions, header hierarchy, alt text gaps) • Technical SEO review, including indexability, sitemap, robots.txt, canonical tags, redirects, duplicate metadata, internal linking opportunities, schema markup recommendations, and local/service-area SEO basics • Form functionality (test every lead/contact form end-to-end) • Content and messaging review for clarity, trust, medical transport terminology, service descriptions, claims language, and obvious gaps or outdated/placeholder content • Trust and credibility review, including certifications/accreditations, testimonials or reviews, safety language, privacy notices, contact information, emergency disclaimers, and clear pathways to request transport coordination • B2B navigation clarity (referral partners, case managers, hospital discharge planners — are they easy to route from the homepage?) • CMS / Webflow build quality review, including class structure, reusable components, CMS templates, asset optimization, unused scripts, embeds, forms, and maintainability concerns • Audience Journey Assessment: evaluate the end-to-end experience separately for 1) patients & caregivers, 2) healthcare professionals (case managers, discharge planners, referral partners). Assess whether each audience can quickly recognize they are in the right place, understand the available services and process, find answers to decision-making questions, establish trust, and take the appropriate next step by phone, form or chat. Identify missing information, unclear terminology, dead ends and competing calls to action and opportunities to improve audience routing and content hierarchy. Pages / User Journeys to Prioritize: • Homepage and primary conversion paths • Contact / request transport / quote forms • Service pages and location/service-area pages • B2C education and informational resource center pathways • B2B referral partner / hospital / case manager pathways • Mobile experience for urgent or time-sensitive users • Any CMS templates used across multiple pages Required Deliverables: • A written audit report organized by priority level: Critical / High / Medium / Low. • Each finding should include: issue description, affected URL(s), screenshot or screen recording where helpful, business impact, recommended fix, estimated effort, and whether the fix requires Webflow development, content edits, SEO updates, analytics work, or stakeholder approval. • A 90-day prioritized roadmap that separates quick wins from larger strategic recommendations. • Audience-specific journey findings: provide an annotated walkthrough or journey map for each primary audience showing key entry points, decision points, info needs, friction areas, content gaps, conversion opportunitie sand prioritized recommendations • A Phase 2 implementation quote for approved Critical and High items only, with pricing available per item and/or as a bundled fixed fee. • Phase 2: Critical Fixes will be scoped after audit review and approval. o We will approve a punch list of Critical and High items only for this phase, such as broken CTAs, dead forms, placeholder content, mobile layout breaks, urgent tracking issues, and obvious conversion blockers. • Timeline o Audit delivered within 7 business days of kickoff o Critical fixes scoped and quoted within 2 business days of audit approval Budget Structure • Phase 1 Audit: fixed fee; please quote as a standalone deliverable. • Phase 2 Fixes: fixed fee based on the approved punch list; please quote per item and/or as a bundled implementation package. Proposal Requirements • Phase 1 audit fee • Estimated timeline and availability • What tools or methods will be used for testing • What access is required, such as Webflow, GA4, Search Console, form tools, CRM, call tracking, or hosting/DNS information • Whether the contractor can complete Phase 2 implementation work if approved • Any assumptions, exclusions, or dependencies that may affect pricing Internal Access / Inputs We May Need to Provide • Website URLs for both Webflow sites • Webflow read-only or collaborator access, if required • Analytics access, such as GA4, Search Console, call tracking, form tools, CRM lead routing, or ad landing page data • Known pain points, priority services, target geographies, and any current campaigns driving traffic to the sites • Brand, legal, compliance, or approved-language guidelines, if available Contractor Eligibility: • Must have live Webflow portfolio examples (please share 2–3) • Comfortable working in a healthcare-adjacent, compliance-aware environment (no need for HIPAA expertise, just general carefulness with claims/language) • Clear async communication; we will not have daily calls, so Loom updates or written summaries are preferred. • Demonstrated experience conducting audience-based UX, conversion and information architecture assessments in addition to Webflow technical audits. • What We’re NOT Looking For o Full redesign (separate future scope) o Ongoing retainer; this is fixed-scope, though we may extend based on fit.
