Japanese Event Coordinator - In Tokyo

Tokyo-based media publishing and events group producing premium charity galas and industry events in Japan. We are looking for a bilingual event coordinator to run the ground for our upcoming events in 2026 with a focus on 2027. This is a hands-on delivery role. You report directly to our Chairman. What you'll do Coordination and delivery Coordinate suppliers, venue staff, MCs, performers, photographers and floor staff in the run-up and on the day Manage the run-of-show and keep the evening on time Run guest check-in, seating and table management, including VIP handling Look after clients, sponsors and guests during the event so they leave satisfied. This is the core of the job Reporting and communication Report directly to the Chairman: clear written updates, no chasing required Sponsorship support - Support outreach to corporate sponsors and table buyers, working from our lists and your own contacts - Attend sponsor meetings in Tokyo alongside the Chairman or Editor in Chief What we're looking for - Native Japanese with basic-level English - 2–5 years in event coordination, hospitality, hotel banquet operations, wedding production, PR or agency event work - You have actually run an event on the day, not only planned one - Calm under pressure, organised, and comfortable directing a team of suppliers and floor staff - Professional and discreet in a room with ambassadors, executives and high-net-worth guests - Based in Tokyo and available on site, including evenings and occasional weekends around event dates Preferred: experience with charity galas, sponsorship or table sales, or contacts in Japanese corporate, luxury, motorsport or philanthropic circles.
