Turn Existing Excel Financial Calculator Into Secure Internal Web App (Healthcare)

Project Overview We are a multi‑location healthcare group (chiropractic) with a working, battle‑tested Excel workbook that calculates patient financial plans: Handles insurance coverage, co‑pays, coinsurance, deductibles, allowed amounts Takes doctor’s recommended visit plan Outputs clear options for what insurance pays vs what the patient owes It works, but it’s fragile and easy to copy. We want this turned into a secure web application with logins so clinics can use it, but nobody can walk off with the formulas. This is a focused internal tool, not an EMR or full practice management system. What We Need Built (Scope) A secure web app that: Authentication / Roles User login system (email + password, or SSO if simple) Roles: Admin (HQ) and Standard User (clinic staff) Admin can manage users, change assumptions/settings; Standard Users cannot see or edit formulas/logic. Input Screen (Form) Fields to enter: Insurance type / payer Coverage details (co‑pay, coinsurance, deductible, out‑of‑pocket, allowed amount, etc.) Visit recommendations (frequency, number of weeks, phases, etc.) Flags: PI / work comp / commercial / cash, etc. Clean, simple UI that non‑technical staff can use quickly. Calculation Logic Recreate our existing Excel logic server‑side (you will work from the spreadsheet and test cases we provide). No formulas or calculation details exposed to end‑users. All logic must live in code on the server, not in a downloadable spreadsheet. Output Screen Show 2–3 financial plan options (e.g., pay‑in‑full, monthly, per‑visit). Break down what insurance covers vs patient responsibility. Ability to export or print a simple summary (PDF or print view) for the patient. Audit / Logging (Basic) Log: user, clinic, date/time, patient ID (or code we pass), plan type selected, and key outputs. Simple admin screen or CSV export of logs. Security & Deployment Hosted in a secure environment (we’re open to your suggestion: AWS, Azure, etc.). HTTPS, basic security best practices. We own the source code and IP. Tech Preferences We care more about mainstream and maintainable than trendy. Examples we’re comfortable with: Backend: Node.js, Python (Django/Flask/FastAPI), Ruby on Rails, or PHP (Laravel) Frontend: React / Vue / plain server‑rendered views if simple Database: Postgres / MySQL If you have a strong preference and a track record, propose it. What We Will Provide The current Excel workbook (with all formulas) A written description of inputs/outputs 5–10 real test scenarios (inputs + expected results) to validate your implementation Basic UX wireframe of desired screens (we want clean and simple, not Dribbble art) Who We’re Looking For You have prior experience turning complex Excel models into web apps (pricing tools, quoting tools, financial calculators, underwriting tools, etc.). You can explain how you’ll protect our logic/IP. You’re comfortable owning the full stack: auth, UI, logic, deployment. Deliverables Working web app in a staging environment Source code in our repository (GitHub/GitLab) Basic documentation: How to deploy How to add/edit users Where key logic lives 1–2 training calls with our HQ team Bug fixes for an agreed period after go‑live (e.g., 30–60 days) How To Apply Please respond with: A short note on why you’re a fit for “Excel → web app” work specifically.
