As we continue to grow, we are seeking an exceptional Administrator of Academic Operations to build, lead, and optimize the systems, people, and processes that power our academic excellence and student success About the Role The Administrator of Academic Operations is a leadership role responsible for overseeing the end-to-end academic and operational functions of Efiko Learning. This individual will serve as the operational backbone of the organization, ensuring that tutors, students, parents, programs, and internal teams work seamlessly together. The ideal candidate is highly organized, execution-focused, data-driven, and passionate about delivering world-class educational experiences. You will lead academic operations, tutor management, program delivery, scheduling, quality assurance, student success, and continuous improvement initiatives while helping Efiko scale from a growing startup into a leading global education company. What You Will Do Academic Program Operations • Lead the planning, execution, and continuous improvement of all learning programs. • Ensure classes are delivered consistently and meet Efiko's quality standards. • Collaborate with curriculum teams to improve existing courses and launch new programs. • Monitor program effectiveness and recommend improvements based on student and parent feedback. • Maintain academic calendars, term schedules, and program timelines. Tutor Recruitment, Onboarding & Performance Management • Oversee tutor recruitment, selection, onboarding, and training processes. • Ensure tutors are fully prepared and aligned with Efiko's teaching philosophy and standards. • Conduct regular performance reviews and coaching sessions. • Monitor class observations, student feedback, attendance, and instructional quality. • Build systems that support tutor retention, engagement, and professional growth. Student & Parent Experience • Oversee the complete learner journey from enrollment through program completion. • Ensure smooth onboarding for students and families. • Monitor student engagement, attendance, and academic progress. • Resolve escalated parent and student concerns professionally and promptly. • Drive initiatives that improve customer satisfaction, retention, and referrals. Scheduling & Operational Excellence • Manage tutor scheduling and class assignments across all programs and time zones. • Ensure adequate tutor coverage and contingency planning. • Develop operational systems that minimize disruptions caused by technology, internet, or staffing challenges. • Improve workflows and processes to increase efficiency and scalability. Team Leadership & Accountability • Lead and supervise academic coordinators, administrators, and support staff. • Establish clear goals, performance metrics, and accountability systems. • Conduct regular team meetings and operational reviews. • Foster a culture of excellence, ownership, collaboration, and continuous improvement. Quality Assurance & Compliance • Develop and maintain academic policies, procedures, and operational standards. • Ensure consistency and quality across all classes and learning experiences. • Maintain accurate records, documentation, and reporting systems. • Ensure safeguarding, privacy, and operational compliance standards are met. Data, Reporting & Strategic Planning • Track and analyze key performance indicators including Enrollment growth, Student retention, Class attendance, Tutor performance, Parent satisfaction, Program completion rates • Prepare weekly and monthly operational reports for leadership. • Use data to identify opportunities for growth, efficiency, and improved outcomes. Technology & Learning Systems • Oversee the effective use of learning management systems, scheduling tools, CRM platforms, and operational technology. • Work closely with leadership to improve automation and operational scalability. • Support implementation of new systems and processes as Efiko grows. What We Are Looking For Required Qualifications • Bachelor’s degree in education, Business Administration, Operations Management, or a related field. • Minimum of 5 years’ experience in academic operations, education management, school administration, or program management. • Strong leadership experience, managing teams and driving performance. • Excellent verbal and written communication skills. • Strong organizational and project management capabilities. • Ability to manage multiple priorities in a fast-paced startup environment. • Strong analytical and problem-solving skills. • High level of ownership, accountability, and attention to detail. Preferred Qualifications • Experience working in online education, EdTech, tutoring, or learning organizations. • Experience managing remote teams across multiple locations. • Familiarity with LMS, CRM, scheduling, and project management tools. • Experience supporting global or diaspora-focused education programs. • Experience building operational systems within a startup or high-growth environment.
