Accountant Required – China Trip Financial Reconciliation & Expense Allocation (286 Transactions) Project Overview I am seeking an experienced accountant, forensic bookkeeper, or financial analyst to perform a complete reconciliation of expenses and funding arrangements relating to a recent trip to China. The project involves reviewing bank statements, credit card statements, and exported transaction records containing approximately 286 transactions across multiple accounts and payment platforms. The objective is to trace the flow of funds, allocate expenses to the correct individual, reconcile funding received from third parties, and determine the final net financial position of all parties involved. Parties Involved The trip involved three individuals: • Sultan AlShamsi • Reem • Abdelaziz Funding Arrangement The intended arrangement was as follows: • Reem's travel expenses were to be funded by Ahlam. • Abdelaziz's travel expenses were to be funded by Khalid. • Sultan acted as the primary payer during the trip and settled expenses on behalf of all travelers. To facilitate this arrangement: • Ahlam transferred funds to Sultan for Reem's expenses. • Khalid transferred funds to Sultan for Abdelaziz's expenses. • Sultan then paid for hotels, restaurants, transportation, shopping, entertainment, and other travel-related expenses through various accounts and payment methods. Allocated Budgets The original intended budgets were: • Reem: AED 11,042.61 • Abdelaziz: AED 22,000.00 One of the objectives of this engagement is to compare actual spending against these allocated budgets and determine any excess funding, shortfalls, or cross-funding between the parties. Accounts and Payment Platforms Transactions were conducted through the following: • ADIB Current Account • Ajman Bank Current Account No. 1 • Ajman Bank Current Account No. 2 • Ajman Bank Savings Account • ENBD Current Account • Alipay account linked to the ENBD Current Account • ENBD Credit Card Account Please note that there were numerous transfers between Sultan's own accounts. These internal transfers must be identified and excluded from expense calculations to avoid double counting. Important Considerations For practical purposes, the ADIB account was primarily used to receive and administer funding from Khalid. However, the reconciliation should not assume that all funds received from Khalid were ultimately spent for Abdelaziz, nor that all expenses paid by Sultan were funded by third parties. It is possible that: • Sultan personally funded expenses attributable to Reem and/or Abdelaziz. • Sultan may have utilized a portion of Khalid's funding for expenses attributable to Sultan. • Shared expenses such as hotels, transportation, restaurants, and other common costs require allocation among the travelers. Accordingly, the objective is to determine the true economic position of each party after considering all funding sources, internal transfers, and expenses. Data Available The successful candidate will be provided with: • Bank statements • Credit card statements • Excel transaction exports • Transaction references and allocation notes • Supporting information regarding expense categorization Total transaction volume: approximately 286 transactions. Scope of Work The accountant will be required to: 1. Funding Analysis Identify and reconcile: • Total amount received from Ahlam • Total amount received from Khalid 2. Internal Transfer Analysis Identify transfers between Sultan's accounts and exclude them from expense calculations. 3. Expense Classification Review and classify all transactions into appropriate categories, including: • Hotels • Restaurants • Transportation • Shopping • Entertainment • Miscellaneous travel expenses 4. Expense Allocation Allocate expenses to: • Sultan • Reem • Abdelaziz Where expenses are shared, apply a reasonable and documented allocation methodology. 5. Reconciliation Schedules Prepare separate reconciliations for: • Reem • Abdelaziz • Sultan 6. Final Funding Reconciliation Determine: • Whether Reem remained within her allocated budget of AED 11,042.61 • Whether Abdelaziz remained within his allocated budget of AED 22,000.00 • Whether Sultan personally subsidized expenses for Reem and/or Abdelaziz • Whether any portion of Khalid's funding was ultimately utilized for Sultan's expenses • The final net settlement position between all parties Required Deliverables A professional Excel workbook containing: 1. Funding Received Schedule 2. Internal Transfer Schedule 3. Detailed Expense Ledger 4. Shared Expense Allocation Schedule 5. Reem Reconciliation 6. Abdelaziz Reconciliation 7. Sultan Reconciliation 8. Final Summary and Settlement Analysis Final Report Must Clearly Show In addition, the final report should clearly identify: • Total funding received from Ahlam • Total funding received from Khalid • Total expenses attributable to each traveler • Amount funded by Sultan on behalf of Reem • Amount funded by Sultan on behalf of Abdelaziz • Any cross-funding between parties • Final net balances and settlement amounts due between all parties Preferred Qualifications • Qualified Accountant or Bookkeeper • Strong bank reconciliation experience • Forensic accounting or transaction tracing experience preferred • Advanced Excel skills • Ability to provide a clear audit trail and supporting calculations • Experience reconciling multiple bank accounts, credit cards, and digital payment platforms The ideal deliverable is a well-structured Excel workbook supported by a concise summary report explaining all findings, assumptions, allocations, and final settlement positions.
