Accounting & HR Assistant (Payroll Administration)

We are seeking a detail-oriented and reliable Accounting & HR Assistant (Payroll Administration) to support our growing team. This is a remote, part-time position ideal for someone with experience in bookkeeping, payroll processing, and human resources administration. The successful candidate will play a key role in maintaining accurate financial records, processing payroll, supporting HR operations, and ensuring compliance with company policies and employment regulations. The ideal candidate is highly organized, proactive, able to handle confidential information with discretion, and comfortable working independently while collaborating with a remote team. Schedule Part-time (approximately 20–30 hours per week) Must have availability during Pacific Time (PT) business hours for meetings and team collaboration. Key Responsibilities Accounting Perform day-to-day bookkeeping and maintain accurate financial records. Record and categorize financial transactions. Process accounts payable and accounts receivable. Reconcile bank accounts, credit cards, and other financial statements. Track company expenses and prepare expense reports. Assist with month-end and year-end closing activities. Prepare financial summaries and management reports. Maintain organized accounting documentation and records. Payroll Administration Process payroll accurately and on schedule using Gusto (preferred) or a similar payroll platform. Maintain employee payroll information, including compensation, tax withholding, direct deposit, and deductions. Process payroll adjustments, reimbursements, bonuses, and PTO. Ensure compliance with federal, state, and local payroll regulations. Coordinate payroll tax filings and related documentation. Respond to employee payroll inquiries promptly and professionally. Generate payroll reports for management as needed. Human Resources Coordinate employee onboarding and offboarding processes. Prepare employment documents and onboarding materials. Maintain confidential employee personnel files and HR records. Track employee benefits enrollment and eligibility. Monitor employee leave balances and PTO records. Assist with recruiting activities, including scheduling interviews and maintaining candidate records. Ensure HR documentation is complete and compliant. Support employee engagement and other HR administrative initiatives. Compliance & Administration Maintain compliance with labor laws, payroll regulations, and company policies. Organize and maintain digital filing systems. Assist with audits and requests for financial or HR documentation. Recommend process improvements to increase efficiency and accuracy. Handle sensitive financial and employee information with the highest level of confidentiality. Required Qualifications 3+ years of experience in accounting, bookkeeping, payroll, or HR administration. Experience processing U.S. payroll. Strong understanding of bookkeeping and accounting principles. Experience supporting HR administrative functions. Excellent organizational and time management skills. Strong attention to detail and accuracy. Excellent written and verbal English communication skills. Ability to work independently and manage multiple priorities. High level of professionalism and confidentiality. Preferred Experience Gusto (preferred) QuickBooks Online Xero ADP Google Workspace Microsoft Excel (intermediate to advanced) Slack Zoom Deliverables The successful candidate will: Maintain accurate bookkeeping and financial records. Process payroll accurately and on time. Keep employee payroll and HR records current. Support employee onboarding and HR administration. Prepare financial reports and payroll summaries. Ensure payroll and HR compliance. Provide timely administrative support to leadership. Maintain organized financial and personnel documentation.
