Accounting Technology Project Manager

We are seeking an Accounting Technology Project Manager to help manage the financial, operational, and technology-related activities of a growing online business. This is a hybrid position requiring formal undergraduate-level education in Accounting Technology, Accounting, or a closely related accounting discipline, combined with expert-level proficiency in QuickBooks Online and demonstrated project-management ability. The selected candidate must be comfortable working with accounting records, financial information, business processes, software systems, deadlines, team members, vendors, and multiple projects simultaneously. This is not a basic bookkeeping or general virtual-assistant position. The person selected should understand accounting principles, be able to work confidently in QuickBooks Online, evaluate financial information, maintain accurate records, and organize projects from assignment through completion. Primary Responsibilities Accounting and QuickBooks Online Manage and maintain accurate records in QuickBooks Online. Review and categorize income, expenses, deposits, payments, transfers, refunds, and other transactions. Maintain the chart of accounts and help ensure transactions are recorded in the correct accounts. Perform bank, credit-card, and payment-processor reconciliations. Track accounts receivable and accounts payable. Review invoices, bills, customer payments, vendor payments, credits, and outstanding balances. Identify duplicate entries, missing transactions, incorrect classifications, unreconciled balances, and other discrepancies. Maintain supporting documentation for accounting entries. Assist with recurring transactions, commissions, residual income, revenue sharing, and disbursement records. Prepare and review financial reports, including profit-and-loss statements, balance sheets, cash-flow reports, accounts-receivable reports, and accounts-payable reports. Help explain financial results and discrepancies in clear business terms. Maintain organized records for tax preparation, financial review, management reporting, and decision-making. Work with outside accountants, tax professionals, processors, vendors, or financial institutions when directed. Financial Analysis and Organization Compare accounting records with invoices, payment-platform reports, processor records, bank deposits, contracts, and internal spreadsheets. Help trace transactions from their source through payment, deposit, accounting entry, and final reporting. Monitor business income, expenses, outstanding obligations, project costs, and cash-flow requirements. Prepare financial schedules, summaries, and supporting spreadsheets. Identify unusual transactions, missing information, inconsistent totals, or financial risks requiring review. Help develop practical financial controls and documentation procedures. Protect confidential business, customer, banking, and financial information. Project Management and Operations Maintain project plans, task lists, deadlines, priorities, and status reports. Assign or track responsibility for open tasks and action items. Monitor pending responses, missing information, dependencies, and blocked assignments. Prepare meeting agendas, meeting notes, decisions, and action-item summaries. Follow up with team members, developers, vendors, customers, accountants, and outside contacts as directed. Organize project documents, accounting records, screenshots, correspondence, workflow materials, and reference information. Develop templates, procedures, checklists, spreadsheets, and tracking systems. Identify delays, incomplete work, unclear instructions, financial discrepancies, and operational risks. Communicate promptly when work is completed, delayed, blocked, unclear, or awaiting another person. Help ensure that accounting, financial, operational, and technology projects remain coordinated. Technology and Business Systems Work comfortably with QuickBooks Online, spreadsheets, CRM systems, payment-processing platforms, document-management systems, and online business tools. Learn and document unfamiliar software systems and business workflows. Help translate business and accounting requirements into clear instructions for developers or technical team members. Assist with testing financial workflows, transaction records, reports, and software changes. Confirm that completed work meets the stated accounting and business requirements. Identify opportunities to improve accuracy, efficiency, internal controls, and workflow organization. Required Qualifications Undergraduate degree or substantial undergraduate education in Accounting Technology, Accounting, or a closely related accounting discipline. Expert-level proficiency in QuickBooks Online. Strong understanding of undergraduate accounting principles. Comfort working with financial statements, transaction records, reconciliations, and financial reports. Demonstrated project-management or project-coordination ability. Advanced spreadsheet skills. Ability to investigate and explain accounting or financial discrepancies. Strong organizational, documentation, and follow-up skills. Clear written and verbal communication. Ability to manage multiple responsibilities without constant supervision. Ability to distinguish confirmed facts from assumptions. Willingness to ask questions when instructions or financial information are unclear. Good judgment when handling confidential business and financial information. Reliable internet access and ability to work effectively in a remote environment. Preferred Qualifications QuickBooks Online ProAdvisor certification or comparable demonstrated expertise. Experience with payment processing, recurring billing, commissions, residual income, revenue sharing, or disbursements. Experience supporting a technology, financial-services, software, CRM, or online business. Experience coordinating with developers, accountants, vendors, and business owners. Experience creating financial dashboards, management reports, reconciliation schedules, and operational tracking systems. Familiarity with project-management software and CRM platforms. Experience documenting accounting and operational workflows. Required Work Style The right person will be analytical, organized, proactive, dependable, and comfortable taking responsibility for both financial accuracy and project completion. We are not looking for someone who simply waits for detailed instructions. The person selected should regularly help answer: What needs to be completed next? Who is responsible? What remains open or overdue? What information or access is missing? What is preventing completion? Which financial records do not reconcile? Are transactions properly documented and classified? What requires follow-up? What should be prepared before the next meeting? What financial or operational issue could become a larger problem if it is not addressed? Communication is expected whenever an assignment is complete, delayed, unclear, blocked, or awaiting another person. Schedule Preferred availability is Monday through Friday, with meaningful overlap during U.S. Eastern Time business hours or afternoon and evening hours. Occasional weekend availability may be useful. The position may begin part-time and expand as the business grows. We are seeking someone who can learn the company’s accounting systems, financial workflows, technology projects, and operating procedures and provide consistent long-term support.
