About The Role We are seeking a highly organized Activation Operator to help newly signed dental offices successfully complete onboarding, training, and activation. This role serves as the operational quarterback for each assigned office, ensuring practices stay engaged, complete required milestones, and build enough momentum to reach their first patient case. You will be responsible for identifying bottlenecks, driving accountability, coordinating internal resources, and ensuring offices continue progressing through the activation journey. Success in this role is measured by office activation, engagement, and progression - not by the number of emails sent or tasks completed. This is a fast-paced operations role for someone who enjoys solving problems, creating momentum, and helping customers successfully adopt new systems. What You'll Do Office Activation Management Own assigned offices from payment through activation Drive offices through onboarding milestones and activation requirements Ensure offices remain engaged and progressing toward first case submission Identify blockers preventing activation and work to resolve them quickly Escalate risks before offices become stalled Training & Readiness Coordination Coordinate training sessions and activation calls Track completion of certifications, onboarding tasks, and readiness milestones Ensure key team members complete required training Verify offices are prepared for first patient workflows Progress Monitoring & Accountability Monitor office progress using ClickUp, CRM systems, and internal dashboards Maintain accurate activation records and documentation Proactively follow up with offices showing signs of inactivity Keep leadership informed of activation risks and bottlenecks Communication & Relationship Support Serve as the primary operational point of contact during onboarding Coordinate with doctors, office managers, treatment coordinators, and hygienists Maintain consistent communication throughout activation Ensure every office knows exactly what their next step is Internal Team Coordination Work closely with Clinical Activation Operators and leadership Coordinate with support, lab, and operations teams Execute established SOPs, workflows, and escalation procedures Maintain onboarding documentation and activation records
