Summary You'll provide operational support for a UK professional body in the consultation and engagement sector. The work covers inbound enquiry handling, registration processing, database maintenance, and weekly event admin. You'll be working alongside an automation system that handles the routing and classification work — your role is to be the human in the loop: reviewing AI-drafted responses before they go out, handling exceptions the system flags, and keeping the operational records clean and up to date. Hours: 10 hrs/week initially, dropping to 4–6 hrs/week from month 3 onwards Contract: Ongoing, contracted directly to the client Working pattern: Async-friendly, but 2–3 hours of overlap with UK business hours expected for time-sensitive items Reporting: weekly visibility with client leadership What you'll actually be doing The work splits into six skill areas. None of them are heavy on their own — the role is about doing all of them consistently and well. 1. Email triage and written communication. You'll be first eyes on the main inbox. Most emails are routine registrations or simple enquiries; some need escalation to leadership. You'll respond to routine items using approved templates and tone, and route the rest. We need someone who writes well in a UK professional register — clear, polite, businesslike, no Americanisms. 2. Form processing. Typeform and website forms feed enquiries into the system. You'll review each submission, route it to the right tracker, send the appropriate acknowledgement, and flag anything commercially important. 3. Notion database management. Operational records live in Notion — event records, programme participant tracking, membership tracking. You'll be in Notion daily, updating records, completing missing fields, and flagging gaps. Confident Notion users only — databases, properties, views, filters. Not "I've used Notion for personal notes." 4. Microsoft Teams event admin. Weekly events run through Teams. You'll manage registrations, check joining links, support attendee access issues, and distribute a weekly summary communication to the right audience. 5. Lifecycle administration. Programme participants and members move through onboarding stages — initial enquiry, scheduled call with a senior team member, course selection, website provisioning, access granting. You'll move people through these stages prompted by the system, and keep leadership informed of any delays or decisions needed. 6. Data hygiene. Across all of the above, the trackers need to stay accurate. You'll spot duplicates, fill in missing details, flag inconsistencies, and produce simple activity summaries when leadership asks. Must-have skills Notion — day-to-day fluent with databases, properties, views, filters Strong written English in a UK professional register — UK-based or substantial experience working with UK organisations Email triage judgement — comfortable deciding what to action, escalate, or hold Typeform familiarity (or fast learner with form tools) Microsoft Teams — registrations, meeting admin, troubleshooting attendee access Attention to detail — comfortable with checklists, SOPs, and audit trails Self-starter — async working with minimal supervision Comfortable handling UK personal data with appropriate care; familiar with basic data protection principles Nice-to-have Experience supporting UK membership organisations, professional bodies, charities, or local government WordPress or similar CMS familiarity Experience working in a human-in-the-loop setup with AI or automation tools Cal.com or similar scheduling tools How to apply Reply with: A short note (a few paragraphs, your own words) about why this role fits you — and specifically how you'd feel about hours stepping down from ~10/week to ~4–6/week over the first few months One or two concrete examples of operational/admin work you've done — screenshots or links welcome Your hourly rate Confirmation of your timezone and UK business hours availability
