Summary

We're looking for a detail-oriented Administrative Assistant to help organize property information by combining traditional data entry with AI-powered workflows. This role involves reviewing photos of homes, appliances, mechanical equipment, and documents, then using AI tools (such as ChatGPT) to extract and organize information into Google Sheets and other documentation. If you're organized, tech-savvy, and excited about using AI to make administrative work faster and more accurate, we'd love to hear from you. Responsibilities Transfer information from existing software into Google Sheets. Review photos of home equipment (HVAC systems, appliances, plumbing, electrical panels, etc.) and use AI to identify and extract relevant information. Verify AI-generated information for accuracy. Organize equipment details, model numbers, serial numbers, and maintenance records. Perform miscellaneous administrative and data entry tasks. Maintain organized digital records and documentation. Qualifications Strong attention to detail. Comfortable using Google Sheets or Microsoft Excel. Experience with administrative support or data entry. Comfortable learning and using AI tools like ChatGPT. Excellent organizational skills. Ability to work independently and communicate clearly. Bonus Skills Experience with property management, construction, facilities management, or home services. Familiarity with HVAC, plumbing, electrical, or appliance terminology (not required—we'll teach you). Ideal Candidate You're someone who enjoys organizing information, learns new technology quickly, and likes figuring things out. Rather than simply typing data, you'll be using AI as a tool to make the work faster and smarter while ensuring everything is accurate.
