Administrative Assistant (Remote - Freelance) Boutique Healthcare Consulting Firm We are a boutique healthcare consulting firm specializing in healthcare licensing, accreditation, compliance, and operational strategy. We are seeking a reliable, highly responsive Executive / Administrative Assistant to support daily business operations, proposal workflows, and client-facing administrative support. This is a freelance remote opportunity with structured workflows, SOPs, and long-term growth potential. Key Responsibilities You will work directly with leadership to support daily operations by: • Monitoring and responding to emails and Teams messages throughout the workday • Answering and screening inbound business calls professionally • Handling ad hoc administrative requests during U.S. business hours • Managing Upwork communications, job searches, and proposal workflows • Drafting and customizing proposals and cover letters using provided templates • Logging job leads and proposal activity in SharePoint trackers • Coordinating and delegating tasks to subcontractors or support staff as needed • Organizing client files and maintaining structured SharePoint folders • Tracking assignments and follow-ups in Microsoft Teams and Planner • Providing status updates and communicating proactively throughout the day Availability Requirements (Important) Candidates MUST: • Be available Monday-Friday during U.S. Central business hours • Maintain reliable overlap between: 8:00 AM – 7:00 PM Central Time (U.S.) • Be comfortable working overnight hours if located in India or the Philippines • Be highly responsive during assigned coverage hours Ideal Candidate • Fluent English speaker with excellent written and verbal communication • Comfortable answering calls and communicating professionally with clients • Extremely organized, detail-oriented, and proactive • Able to manage multiple moving tasks independently Experienced with: * Microsoft Teams * Microsoft Word & Excel * SharePoint & Planner * Canva * Upwork * Email and calendar management • Bonus: Experience supporting a consulting firm, agency, healthcare business, or executive Requirements • Reliable internet connection and quiet work environment • Ability to work consistently during required U.S. business hour overlap • Access to Microsoft tools and Canva • Comfortable following SOPs and structured systems • Ability to track time using Upwork Time Tracker or approved manual tracking tools Role Structure • Part-time to start (up to 5 hours/week depending on availability and fit) • Potential for long-term growth and expanded responsibilities • Workload may fluctuate depending on project volume • All templates, workflows, SOPs, and systems will be provided Ideal Locations We are open to candidates from: • Philippines • India • Latin America However, strong English communication and consistent U.S. business hour availability are required.
