Responsibilities include reviewing trip data, finalizing invoices, and marking completed trips in our internal portal. This role requires accuracy and timely completion of tasks, with clear instructions and support provided. // Long-Term Administrative Support for Basic Tasks Within Company’s Internal Tools Description We’re looking for contractors to provide administrative help to our Vehicle Shuttle Charter Services team by completing weekly tasks inside our internal trip management portal. The work is very straightforward and low in complexity but high in volume — and completing it accurately and on time is critical to keeping our operations running smoothly. Each week, you’ll: Log in to our admin portal and review trip data for a specific market and date range. Finalize district invoices by verifying that quoted and final amounts match, then marking them as finalized. Mark completed trips as “Complete” in the system after verifying trip details. Follow precise, step-by-step written instructions and short Loom videos we’ll provide to guide you through each step. Success means finalizing 100% of pending invoices and clearing 100% of in-progress trips by Friday 5 p.m. PT USA each week. We’re hoping to find contractors who can perform this work successfully and continue long-term as part of an ongoing engagement. While the engagement is active, we’ll stay connected in Slack for day-to-day communication, so you can easily ask questions and receive coaching as needed. We’ll also provide clear written instructions and Loom videos to show you exactly how to complete each task correctly. // Scope of work details, including video demos // Finalizing District Contract Invoices: Note: this Loom video illustrates these same requirements that are detailed below. Log in to the admin portal. Filter trips by date Select the first day of the week being worked on. Select the last day of the week being worked on. Filter trips by Trip Status: Select only “completed” trips Filter by location. Only select one market at a time. Filter by payment status Select only “pending finalization” Once list populates, go through each trip individually Select “Booking amount” Review “quoted amount” field Ensure that the “final amount” field matches the “quoted amount” field Hit “finalize invoice” and move on to the next. Marking District Trips “Complete” Note: this Loom video illustrates these same requirements that are detailed below. Log in to the admin portal.
