Job Title: Administrative Virtual Assistant for Inbox, Calendar, and Project Support Job Description: I am looking for a reliable virtual assistant to work directly with me as my administrative assistant. This is a long-term administrative support role. The assistant will help me stay organized, manage my calendar, help monitor my email inbox, follow up on tasks, coordinate communication, and help move day-to-day projects forward. The work is primarily administrative. I need someone organized, responsive, detail-oriented, trustworthy, and comfortable communicating by phone, voice message, and text. Schedule: Monday through Friday 8:00 AM to 5:00 PM Pacific Time Availability during these hours is required. Primary Responsibilities: * Help manage my calendar and schedule appointments * Help monitor and organize my email inbox * Flag important emails that need my attention * Draft basic email responses for review * Follow up on emails, tasks, and open items * Help me manage and track administrative projects * Send reminders and keep track of deadlines * Organize notes, messages, and action items * Coordinate simple scheduling and task handoffs * Communicate with me throughout the day by phone, voice message, and text * Keep me updated on pending items and priorities * Assist with other general administrative work as needed Email and Calendar Management: The assistant will help keep my inbox and calendar organized. This may include reviewing incoming emails, identifying urgent items, preparing draft responses, scheduling meetings, sending reminders, and helping make sure nothing falls through the cracks. This role requires good judgment, discretion, and attention to detail. The assistant must be comfortable handling business communications professionally and confidentially. Communication: Before hiring, all interviews and communication will take place through Upwork. After the contract starts, daily work communication will include our company WhatsApp account, including phone calls, voice messages, and text messages. Ideal Candidate: * Strong written and spoken English * Very organized and dependable * Comfortable managing email and calendar tasks * Comfortable with frequent communication throughout the workday * Responsive during Pacific Time business hours * Able to take instructions clearly and follow through * Good at tracking open tasks and deadlines * Trustworthy with confidential business information * Administrative assistant or virtual assistant experience preferred This role is a good fit for someone who: * Wants steady, long-term administrative work * Is comfortable being available during Pacific Time business hours * Can help keep a busy business owner organized * Is detail-oriented and consistent * Can manage routine inbox, calendar, and follow-up tasks * Does not need heavy technical training or specialized expertise Budget: This is an administrative support role, so I am looking for a cost-effective hourly rate.
