We serve niche client segments including commercial airline pilots, small business owners, and possibly healthcare workers. We are building a proprietary advisor operating system — an integrated tech platform that connects our CRM, automation engine, client communication tools, AI tools, and financial planning software into one intelligent workflow. No off-the-shelf solution does this. We are building it ourselves, and we need expert help to do it right. ================================================ THE PROJECT This is not a single-tool setup job. This is an integrated platform built across multiple systems that must communicate, automate, and intelligently route data between them. Think of it as building the operating system for a modern financial advisory practice — from lead intake to client onboarding to annual review to automated follow-up. The platform is built in phases. We are currently hiring for Phase 1 and Phase 2 work simultaneously across two contractor tracks, however, Phase 1 is a priority at this time: Phase 1 — GHL lead flow, pipelines, automations, and funnel completion Status: Active — hiring now Phase 2 — Notion operating system build (client records, SOPs, task routing, knowledge base) Status: Active — hiring now Phase 3 — Full automation integration via n8n connecting all platforms Status: Upcoming — Q3/Q4 2025 ================================================ TECH STACK — FULL PLATFORM OVERVIEW Every contractor hired must understand the full stack even if their immediate role is focused on one layer. Here is what we are building on: CRM & Pipeline: Go High Level (GHL), Redtail CRM Automation Engine: n8n (self-hosted or cloud), GHL native automations Operating System: Notion (client records, SOPs, knowledge base, project dashboards) Task Management: ClickUp 4.0 AI Layer: Claude (Anthropic) — Cowork, Desktop App, API integrations Outreach & Prospecting: Skylead / LinkedIn Sales Navigator Meeting Intelligence: Fathom, Zoom Documents & Comms: Google Workspace (Drive, Gmail, Calendar, Docs) Financial Planning: Redtail, RightCapital Insurance Platforms: MedicareCenter, Connecture, HealthSherpa, CSG Actuarial E-Signatures: DocuSign Compliance (planned): Google Vault or Smarsh (email archiving) Voice / Dialer: GHL native dialer (current), Kixie PowerDialer (evaluating) Lead Capture: GHL funnels, landing pages, Google, Facebook/LinkedIn ad integrations ================================================ WE ARE HIRING FOR TWO SEPARATE ROLES We are running two parallel hiring tracks. Please apply only for the role that matches your expertise. If you are strong in both, note that clearly in your proposal. TRACK A — GoHighLevel Specialist (Fixed-Price Audit + Completion) CONTEXT: We have an existing GHL build started by a previous developer. The work was incomplete and needs to be audited, repaired, and finished before Phase 2 & 3 begins. What You Will Do: Conduct a full audit of our existing GHL sub-account and report findings Complete the pipeline, funnel, and automation setup per our specs Connect GHL to Google Workspace (email/calendar sync, lead routing) Set up and test lead intake automations (Facebook/LinkedIn, Google → GHL pipeline) Configure tags, custom fields, and contact records for all retirement planning with financial products, under and over 65 healthcare and tax strategies, targeting but not limited to the following niches: Commercial Airline Pilots, Small Business Owners, Possibly Healthcare Workers Build or complete email/SMS follow-up sequences for key pipelines Document all workflows, automations, and pipeline stages clearly Prepare GHL for Phase 3 n8n integrations (webhook-ready) Required Experience: 3+ years GoHighLevel — pipelines, automations, sub-accounts, custom values, triggers Experience with GHL for financial services, insurance, or regulated industries preferred Webhook-ready workflow builds for n8n or Zapier integrations Strong documentation skills — we need handoff docs, not just a finished build API/webhook familiarity (you do not need to write code, but must understand the concepts) Nice to Have: Experience integrating GHL with Google Workspace, DocuSign, or compliance tools Understanding of HIPAA-adjacent workflow design for insurance practices Project Type: Fixed-Price | Deliverable-Based | Audit Report + Completion TRACK B — Notion Architect + Automator (Ongoing Part-Time) CONTEXT: We are building Notion as the central operating brain for our advisory practice — replacing a legacy CRM (Redtail) for our insurance and asset management-specific workflows and serving as our internal knowledge base, SOP library, client record layer, and task router. What You Will Do: Architect and build a four-database Notion structure (for now): Master/General client record layer (baselines for coverage types: under and over 65 healthcare, various types of insurance & non-insurance based financial products & tax strategies) Small Business Owners Commercial Airline Pilots Healthcare Workers (i.e. nurses/doctors) Build internal SOP library and knowledge base in Notion (templated and linked) Design and build project dashboards for advisor and team use Create client-facing intake forms that populate Notion databases Build automations using Notion's native automation tools and third-party bridges (n8n or Zapier) Connect Notion to Google Drive for document routing and file organization Connect Notion to ClickUp 4.0 for task handoff and project tracking Build the Fathom → Notion workflow: meeting transcripts → structured notes → action items → CRM routing Maintain and iterate on the Notion system as our practice workflows evolve Eventually produce a developer-ready blueprint document for custom platform commission Required Experience: Expert-level Notion — databases, relations, rollups, views, formulas, templates Experience building Notion as a business operating system, not just note-taking Automation experience via n8n, Make, or Zapier connecting Notion to external tools Google Drive and Google Workspace integration experience Strong ability to translate advisor/business logic into Notion architecture Excellent documentation skills — you will produce SOPs and system documentation as you build Nice to Have: Experience with Fathom or Fireflies meeting note integrations Notion API familiarity Background in financial services, insurance, or professional services operations is helpful Experience building Notion systems that function as CRM replacements Project Type: Ongoing Part-Time | Retainer or Hourly | Long-Term Preferred ================================================ AI INTEGRATION — CLAUDE & INTELLIGENT WORKFLOW LAYER We use Claude (Anthropic) as our primary AI layer. This is not a chatbot project. We are building Claude into our workflow as a judgment and synthesis layer — summarizing meeting notes, drafting client communications, analyzing planning scenarios, and routing outputs to the right tools. We have identified three integration tiers for Claude: Tier 1 — Native: Direct connector (no dev work needed) → Google Drive, Gmail, DocuSign Tier 2 — MCP: MCP server setup (light developer work) → Notion, ClickUp, Fathom Tier 3 — Bridge: n8n workflow bridge (Phase 3) → GHL, Redtail, RightCapital, CSG, MedicareCenter Contractors working on either track should understand how their system will eventually connect to the Claude layer. If you have experience building AI-augmented workflows — particularly with Claude, OpenAI, or similar LLMs integrated into CRM or operations tools — that is a strong differentiator. ================================================ KEY AUTOMATION WORKFLOWS WE ARE BUILDING These are the core workflows that will connect all platforms.
