Agency Project Manager / Client Operations

We’re looking for a project manager / client operations assistant to help support the backend operations of our growing media agency. This role is focused on helping manage client fulfillment, onboarding, team coordination, deadlines, deliveries, and overall backend organization while the owner remains front-facing with clients. Main responsibilities include: * Helping manage client onboarding * Organizing client deliverables and deadlines * Coordinating with editors, VAs, and team members * Following up on fulfillment progress * Helping prep deliveries and updates for clients * Managing backend operations and tracking sheets * Keeping projects moving smoothly internally * Helping identify blockers or missing information * Using AI tools to help streamline workflows and communication * Helping maintain strong client experience and organization This role is NOT sales-focused. It is mainly focused on the fulfillment and operations side of the agency. We’re looking for someone who: * Is highly organized * Communicates well * Learns systems quickly * Can think independently and solve problems * Is proactive and detail-oriented * Is comfortable managing moving parts and multiple projects * Has experience with project management, operations, VA work, or agency/client work We already have systems in place, so this role is more about operating and improving an existing workflow rather than building from scratch. Hours/workload can vary depending on client volume. We typically start smaller and scale responsibilities over time if things are going well. Long-term opportunity for the right person.
