AI Architect / AI Systems Developer Required – Build “Jarvis” Executive Operating System for Crowded Events Group Introduction I am the Founder and Managing Director of Crowded Events Group, a specialist consultancy operating globally across major events, crowd management, venue management, operational planning, readiness, technology, advisory services, and operational delivery. Over the years we have accumulated a significant amount of intellectual property, operational knowledge, methodologies, project documentation, reports, templates, commercial information, financial information, lessons learned, planning frameworks, operational procedures, and business systems. Like many growing businesses, this information exists across multiple platforms and repositories. Whilst the information is available, it is fragmented across systems, folders, inboxes, databases, and applications. The purpose of this project is to create a single AI-powered operating environment that brings all of this information together and makes it accessible through a central intelligence layer called “Jarvis”. This is not a request to build a chatbot. Please instagram “Jarvis AI” and this is what we need building. This is a request to design and build a secure AI-powered Executive Operating System capable of understanding information, monitoring business systems, orchestrating specialist knowledge assistants, generating executive intelligence, supporting business operations, and executing authorised actions across the organisation. The Vision The long-term vision is that Jarvis becomes the primary interface through which I interact with the business. Rather than opening multiple systems every day, I want Jarvis to understand what is happening across the organisation and proactively provide meaningful insight. For example, each morning Jarvis should be capable of providing an executive briefing that includes: * Key business updates * Financial performance * Outstanding invoices * Project status * Operational risks * Client activity * Proposal pipeline * Resource issues * Upcoming deadlines * Important communications * Actions requiring leadership attention Beyond reporting, Jarvis should become capable of identifying patterns, highlighting concerns, recommending actions, and supporting decision-making. Examples: “Three proposals have been awaiting client feedback for more than fourteen days.” “Invoice value of AED 120,000 is now overdue by more than thirty days.” “Project readiness has reduced by 10% over the last two reporting cycles.” “Five critical actions remain outstanding across active projects.” “Resource demand is projected to exceed current capacity next month.” The objective is to create an intelligent business operating system rather than a simple AI assistant. Overall Architecture I expect the solution to consist of multiple layers that work together. Layer 1 – Jarvis Executive Layer Jarvis should act as the primary interface and orchestration layer. Users should interact with Jarvis rather than individual systems. Jarvis should understand requests, retrieve information from the appropriate source, consult specialist assistants where necessary, and provide coherent responses. For example: “What are the biggest risks facing the business this week?” Jarvis may need to gather information from operational systems, financial systems, communications systems, and project trackers before generating a single executive response. The complexity should sit behind the scenes. The user experience should feel like interacting with one intelligent assistant. Layer 2 – Connected Business Intelligence Jarvis should be capable of integrating with existing and future business systems. Potential integrations include: * Microsoft 365 * Outlook * Teams * SharePoint * OneDrive * Airtable * CRM systems * Financial systems * Proposal repositories * Contract repositories * Project management platforms * Internal databases * Company websites * Social media platforms * Future proprietary platforms The objective is for Jarvis to understand information held across the organisation and provide a single source of truth. Layer 3 – Specialist Knowledge Domains A critical requirement is the ability to create specialist AI assistants trained on specific knowledge areas. These assistants should operate using approved company information and should not necessarily rely on internet access. The objective is to create trusted subject matter experts that understand specific areas of knowledge. Examples include: Proposal Development Assistant Trained on: * Historical proposals * Service offerings * Methodologies * Pricing structures * Commercial templates * Case studies Crowd Management Assistant Trained on: * Crowd management plans * Crowd science references * International guidance * Historical project documentation * Company methodologies Concept of Operations Assistant Trained on: * ConOps documents * Operational frameworks * Governance structures * Historical project examples Legislative & Regulatory Assistant Trained on: * Regulations * Standards * Guidance documents * Industry legislation * Compliance requirements This would function similarly to existing internal tools that allow users to search large regulatory libraries without manually reading every document. Training & Learning Assistant Trained on: * Internal training materials * Procedures * Lessons learned * Best practice documentation Research & Innovation Assistant Trained on: * Research papers * Technical studies * Industry publications * Innovation programmes Knowledge Domain Framework The platform should include a reusable framework that allows authorised users to create additional specialist assistants in the future. Ideally administrators should be able to: * Create new assistants * Upload source material * Connect repositories * Define behaviour * Configure permissions * Maintain knowledge bases without significant redevelopment. The long-term objective is to build an ecosystem of specialist knowledge assistants representing the expertise and intellectual property of the organisation. Layer 4 – Agent Workforce In addition to knowledge assistants, the platform should support operational agents that actively perform work. Examples include: Financial Intelligence Agent Responsible for: * Revenue monitoring * Debtor monitoring * Cash flow analysis * Forecasting * Financial reporting * Profitability analysis Communications Agent Responsible for: * Monitoring shared inboxes * Monitoring support requests * Email summarisation * Escalation identification * Response drafting Operations Agent Responsible for: * Risk monitoring * Milestone tracking * Readiness tracking * Deliverable monitoring * Action tracking Proposal & Commercial Agent Responsible for: * Opportunity tracking * Proposal management * Contract support * Pipeline reporting CRM & Relationship Agent Responsible for: * Client engagement tracking * Opportunity monitoring * Meeting preparation * Follow-up reminders Marketing & Content Agent Responsible for: * Content development * Social media support * Campaign planning * Brand monitoring Workforce Agent Responsible for: * Resource planning * Contractor management * Recruitment support * Capacity forecasting Process Improvement Agent Responsible for: * Identifying repetitive activities * Recommending automations * Improving operational efficiency Layer 5 – Action & Workflow Orchestration The platform should not simply answer questions. The platform should be capable of executing authorised actions. Examples include: * Creating tasks * Assigning actions * Scheduling reminders * Triggering workflows * Generating reports * Updating records * Drafting documents * Creating follow-up activities * Initiating approval processes Jarvis should understand the difference between: * Questions * Requests * Tasks * Approvals * Workflows * Escalations and act accordingly. Multi-Channel Access Jarvis should be accessible through multiple interfaces. These may include: * Desktop application * Web application * Mobile application * Voice interface * Microsoft Teams * WhatsApp Business * Future messaging platforms Voice Interaction A dedicated voice interface should be available for authorised executive users. Examples: “Jarvis, give me today’s executive briefing.” “Jarvis, what projects are at risk?” “Jarvis, summarise all client communications from this week.” Messaging Interaction Authorised users should also be capable of interacting with Jarvis through WhatsApp or similar platforms. Examples: “Create a task for Dave to review the Operations Risk Register by Friday.” “Generate a proposal draft for Expo City using our standard methodology.” “Send me a summary of overdue invoices.” The platform should convert these requests into actions where appropriate. Security & Governance This project will contain sensitive company information and therefore security is critical. The solution should include: * User authentication * Role-based permissions * Audit trails * Encryption * Multi-factor authentication * Knowledge access controls * Action approval controls * Secure storage of company information Different users should have different permissions. Some users may only search information. Others may create actions. Certain capabilities may be restricted to company leadership. Infrastructure The solution may be: * Local * Cloud-based * Hybrid I am open to recommendations. One objective is the ability to maintain private knowledge repositories and specialist assistants that can operate independently of public internet resources where appropriate.
