Automation & Integrations Specialist – Paperform, Pipedrive, Twilio, Lindy, WhatsApp

We're looking for an experienced automation specialist to build and troubleshoot a multi-step workflow connecting our lead intake, CRM, phone reminders, call recording, and post-call follow-up. We previously tried Paperform + Zapier + Pipedrive and ran into reliability issues (data not syncing correctly). We need someone who can diagnose why that broke and build it properly this time — not just re-create the same setup. The full workflow we want built: Form intake: Replace our current Calendly booking with Paperform. Prospective clients book a free call and answer questions about their project and why they want to talk to us. (The Paperform is already created) CRM sync: Paperform submission data should flow reliably into Pipedrive (this is the part that broke last time — please be able to speak to how you'd debug/architect this correctly, whether via Zapier, Make, or a native/API integration). Pre-call notification: When someone submits the form, send a summary of their answers to a private WhatsApp group (internal team only) so we know what the call will be about before it happens. Appointment reminders: Set up automated SMS reminders (via Twilio, or a VA platform like Lindy) to upcoming free-call clients ahead of their appointment. Call recording + summary: Record the call and generate a summary afterward. Post-call follow-up: After the call, use Lindy (or similar) to prompt Joseph with a short set of questions about how the call went and whether the lead is worth pursuing — and log that back into Pipedrive. Ideal candidate: - Strong hands-on experience with Zapier — including debugging failed/partial data syncs - Experience with Paperform and Pipedrive specifically (or very similar form + CRM tools) - Experience with Twilio for SMS automation - Experience with Lindy or comparable AI/VA automation tools - Experience with WhatsApp API/group messaging automation - Bonus: experience with call recording/transcription tools (e.g., Fireflies, Fathom, Otter) and feeding summaries into a CRM Deliverables: - Working Paperform → Pipedrive integration with reliable data sync (root cause of prior failure identified and fixed) - WhatsApp notification automation for pre-call summaries - Automated SMS reminder system for booked calls - Call recording + AI summary pipeline - Post-call Lindy follow-up flow with lead-quality logging into Pipedrive - Documentation of how everything connects, so we're not dependent on one person to maintain it To apply, please answer: - Have you worked with Paperform and Pipedrive together before? - What typically causes sync failures between them? - What's your experience with Lindy (or similar), and what would you use it for in this workflow? - How would you architect this so a failure in one step (e.g., WhatsApp notification) doesn't break the rest of the chain? - Roughly how long would you expect the full build to take?
