Senior Business Workflow Automation Architect Needed for 6-Month Company-Wide Automation Roadmap & Implementation ๐๐ซ๐จ๐ฃ๐๐๐ญ ๐๐ฏ๐๐ซ๐ฏ๐ข๐๐ฐ We are looking for a highly experienced business process automation consultant, AI workflow architect, or senior technical automation team to help us map, analyze, and automate the internal business workflows of Frontrunner Bus Group. Frontrunner Bus Group is a U.S.-based bus manufacturing company focused on low-floor, accessible, efficient, and reliable mobility solutions. As the company continues to grow, we want to build a more structured, efficient, data-driven, and automated operating model across all key departments. This is not a small Zapier/Integromat task. We are looking for someone who can think deeply about business operations, understand how a manufacturing-driven company works, identify gaps across departments, document workflows clearly, and then help us automate department-wise in a phased and scalable manner. We want the selected expert/team to work closely with our leadership and department heads to understand: 1. What departments currently exist 2. How each department operates today 3. What tools, spreadsheets, software, forms, emails, and manual processes are being used 4. How information flows between departments 5. Where delays, duplication, errors, manual follow-ups, or communication gaps exist 6. What processes can be automated immediately 7. What processes need restructuring before automation 8. What systems need integration 9. What AI/automation opportunities exist in each department 10. What should be prioritized over the next 6 months Expected departments/workflows may include, but are not limited to: * Sales and lead management * Dealer/distributor communication * Customer inquiry handling * Quote generation * Order management * Production coordination * Manufacturing workflow tracking * Inventory and parts management * Vendor/supplier communication * Procurement * Finance and invoicing * HR and recruitment * Compliance and documentation * Customer support * Warranty/service requests * Internal reporting * Marketing workflows * CRM operations * Document management * Leadership dashboards and KPI reporting ๐๐ก๐๐ฌ๐ ๐ ๐๐๐ฅ๐ข๐ฏ๐๐ซ๐๐๐ฅ๐๐ฌ By the end of the discovery and mapping phase, we expect: * Complete department-wise workflow documentation * Current-state workflow maps * Future-state workflow recommendations * Automation opportunity matrix * Department-wise automation priority list * Recommended tech stack and architecture * Integration requirements * Risk and dependency analysis * Estimated implementation roadmap * Suggested milestones for the next 5 months * Clear documentation that both technical and non-technical stakeholders can understand ๐๐ก๐๐ฌ๐ ๐: ๐๐๐ฉ๐๐ซ๐ญ๐ฆ๐๐ง๐ญ-๐๐ข๐ฌ๐ ๐๐ฎ๐ญ๐จ๐ฆ๐๐ญ๐ข๐จ๐ง ๐๐ฆ๐ฉ๐ฅ๐๐ฆ๐๐ง๐ญ๐๐ญ๐ข๐จ๐ง Once the workflows are properly mapped, we will move into department-wise automation. The selected expert/team should be capable of helping us automate workflows using a combination of: * CRM automation * AI agents * Workflow automation platforms * Custom software development * API integrations * Internal dashboards * Document automation * Email automation * Reporting automation * Approval workflows * Data synchronization * Lead-to-order automation * Order-to-production visibility * Customer support automation * Finance/admin process automation We are open to using the right tools depending on the process, such as: * HubSpot, Salesforce, Zoho, or another CRM * Airtable, SmartSuite, Monday.com, ClickUp, or similar operations platforms * Make, Zapier, n8n, Relay.app, or custom workflow engines * OpenAI/Claude-based AI assistants or agents * Google Workspace automation * Microsoft 365 automation * Custom dashboards * Custom APIs * Internal portals * AWS/GCP/Azure infrastructure if needed We are not looking to force one tool everywhere. The ideal candidate/team should have: * Strong experience mapping business workflows across departments * Experience working with manufacturing, logistics, transportation, automotive, industrial, or operations-heavy businesses * Ability to speak with department heads and convert business conversations into clear workflow diagrams and technical requirements * Strong understanding of CRM, ERP, automation tools, APIs, and AI agents * Experience building scalable automation systems, not just simple one-step automations * Ability to recommend the right tech stack based on business need * Strong documentation skills * Ability to identify process gaps before automating * Experience creating dashboards, alerts, approval workflows, and operational reporting * Ability to manage a 6-month phased engagement * Strong communication and project management skills ๐๐ฆ๐ฉ๐จ๐ซ๐ญ๐๐ง๐ญ: We are looking for a strategic automation partner, not just a developer who waits for tasks.
