Our team focuses on creating a reliable, organized experience for both families and clinicians so that services are delivered consistently and efficiently. As we continue growing, we are looking for a highly organized and compassionate Scheduler who can coordinate therapy schedules while maintaining strong communication with families and clinical staff. Role Overview The Scheduler is responsible for coordinating therapy sessions between families and therapists, ensuring appointments are confirmed, cancellations are handled professionally, and schedules remain stable. This role requires someone who can be firm, organized, and caring at the same time. You will regularly communicate with families, therapists, and the clinical team to ensure that therapy sessions occur as planned. This is not just a calendar management role — it requires strong communication, problem solving, and customer service skills. Core Responsibilities Scheduling Coordination Manage therapist schedules and family appointments Confirm sessions with families by SMS, phone, or email Track cancellations and reschedule sessions when necessary Coordinate therapist availability and coverage Communication with Families Maintain professional and caring communication with parents Follow up when confirmations are missing Address scheduling concerns calmly and clearly Reinforce scheduling expectations and boundaries when needed Problem Resolution Identify scheduling conflicts early Find solutions when therapists cancel or become unavailable Coordinate backup coverage when possible Escalate clinical issues appropriately Record Keeping Document cancellations and communication with families Maintain accurate scheduling records Track patterns in missed sessions or cancellations Team Coordination Communicate regularly with therapists and supervisors Ensure everyone has clear, updated schedule information Required Qualifications Language Fluent English (strong spoken and written communication) Spanish bilingual strongly preferred You must be comfortable speaking with parents on the phone in English. Experience Customer service experience Healthcare scheduling or clinic coordination preferred Experience communicating with patients or families Skills We are looking for someone who is: Highly organized Calm under pressure Professional and respectful in communication Able to maintain clear boundaries with families Comfortable managing multiple schedules Able to respond quickly when schedules change Personality Fit The ideal candidate is: Compassionate but structured Firm but respectful Detail oriented Reliable and responsive Comfortable speaking with families regularly
