Job Summary We are seeking a Bilingual Legal Assistant fluent in English and Spanish to support our immigration legal team with client communication, document collection, immigration packet preparation, case tracking, and timely case movement. This is not a passive administrative role. You will be expected to take ownership of assigned cases, know what is pending, follow up consistently, meet deadlines, and ensure cases continue moving through the firm's internal process. You will work closely with attorneys, Paralegals/QA, File Clerks, and clients. Key Responsibilities Case Management and Packet Movement • Manage assigned immigration cases and actively move them through each processing stage. • Know the current status, pending items, next action, and target movement date for each assigned case. • Complete attorney and Paralegal/QA corrections within established deadlines. • Follow up proactively when a case is waiting on an attorney, Paralegal, File Clerk, client, or another team member. • Identify delays and blockers early and escalate them before deadlines are missed. • Keep the case-management system and internal trackers accurate and up to date. Client Communication • Communicate professionally with clients in English and Spanish. • Provide proactive case updates rather than waiting for clients to follow up. • Request outstanding documents and give clients clear deadlines for submission. • Maintain regular follow-up until required documents are received. • Document all calls, emails, messages, and significant client communications. • Communicate with compassion when discussing sensitive matters such as marriage, abuse, hardship, finances, family history, and immigration history. Evidence and Document Management • Collect, organize, review, and maintain client documents. • Maintain accurate Evidence Checklists showing what has been received and what is still pending. • Check approved firm systems before reporting documents as missing. • Ensure client-submitted documents are properly included in the packet. • Identify incomplete, inconsistent, outdated, or missing evidence before the packet advances. • Proofread legal documents carefully for accuracy and completeness. What We Are Looking For The ideal candidate is: • Fluent in English and Spanish • Highly organized and detail-oriented • Proactive and accountable • Comfortable managing multiple deadlines • A strong communicator • Compassionate but firm with client follow-up • Able to work independently after training • Comfortable receiving constructive feedback • Able to identify problems and propose solutions • Consistent with documentation and follow-through • Comfortable working in a fast-paced environment Qualifications • Professional fluency in English and Spanish – required • 0–3 years of experience as a Legal Assistant, Administrative Assistant, Case Assistant, Immigration Assistant, or similar role preferred • Direct legal experience is not required for candidates who demonstrate strong administrative and organizational skills • Relevant education or qualifying work experience in a fast-paced, administrative, or process-based environment is strongly considered • Experience in roles requiring problem-solving, critical thinking, organization, prioritization, and deadline management is preferred • Strong written English, grammar, spelling, and proofreading skills • Strong client service and communication skills • Experience handling confidential or sensitive information • Strong computer and file-management skills • Ability to quickly learn case-management software and online applications • Ability to work with minimal supervision after training Performance Expectations Performance will be evaluated based on: • Timely packet movement • Client communication and follow-up • Accuracy of Evidence Checklists • Completion of attorney and Paralegal/QA corrections • Management of pending client documents • Compliance with deadlines • Accurate case notes and tracker updates • Proactive follow-up with other departments • Identification and escalation of blockers • Overall ownership of assigned cases Our expectation is ownership, communication, accuracy, urgency, and continuous improvement. Work Schedule Monday–Friday 8:30 AM–4:30 PM Eastern Time Candidates must be consistently available during these hours.
