US dietitian billing, contract/credentialing & practice operations specialist

We are a growing US nutrition counseling and dietitian practice looking for a detail-oriented, English speaking (potentially Spanish) billing, contracting/credentialing and operations specialist to join our team. This is a high-ownership role — you will manage the full revenue cycle, handle contracting & credentialing with US insurance payers, and keep our clinical operations running smoothly so our dietitians can focus entirely on patient care. We use Healthie/PracticeBetter EMR and ClickUp to manage taks. You will work directly with the practice owner and have real impact on how we build and scale our systems. What you must know on day one US medical billing & RCM Availity CAQH Navigating Insurance Portals for providers Denial management & appeals CPT & ICD-10 coding English & Spanish — fluent Healthie/PracticeBetter EMR (or similar) ClickUp or similar for tracking tasks and collaboration Contracting and credentialing with commercial plans What you'll do: Submit, track, and follow up on insurance claims with US payers — targeting a clean claim rate above 90% Work denials end-to-end: identify the root cause, write the appeal, follow through until resolved Maintain accurate billing, insurance and provider records within EMR and practice management system Verify patient insurance benefits before every appointment and communicate accurate cost estimates to patients Ensure all intake paperwork is complete 24–48 hours before each visit Manage credentialing, contracting and payer enrollment for our registered dietitians on CAQH, Availity, and individual payer portals (Cigna, Aetna, UHC, BCBS, Medicare etc) Coordinate prior authorizations and track visit limits for each patient if needed Onboard new clinical hires into our EMR — request and track all required documentation and store in Admin drive/ click up Answer patient calls and messages to schedule appointments and explain billing questions clearly Audit dietitian notes daily to confirm documentation is complete, coded correctly, and appointment status updated Collect patient cost share and explain financial responsibility professionally and empathetically in a patient centered manner Maintain HIPAA compliance across all workflows Apply for new contracts and credentialing with goal of getting in more networks to serve more patients Document repeatable SOPs in ClickUp to support future team growth Required experience: 1+ years working US medical billing and revenue cycle management — claims, denials, appeals, and payer follow-up Direct experience with US insurance payer portals: Availity, CAQH, and at least two of Cigna, Aetna, UHC, BCBS, or others Experience managing credentialing/contrscting and payer enrollment for US-based providers Fluent English & Spanish — you write professional, clear communications to patients and payers daily in their native language Comfortable working independently, managing multiple priorities, and following through without daily check-ins Preferred: Solid working knowledge of CPT codes for nutrition and preventive care (97802, 97803, 97804, G0447, G0473) and relevant ICD-10 codes (Z71.3, obesity, diabetes) Healthie EMR experience Nutrition or dietetics billing background Telehealth billing experience ClickUp or similar task tool Experience training billing staff CPC, CBCS, CMRS, CPB or 3+yrs experience What success looks like at 90 days: Clean claim rate above 90% with a working denial and appeals workflow fully documented All provider credentialing files current and audit-ready across CAQH and active payer portals Patient benefit verification running on a consistent 24–48 hour cycle before every appointment Applications for credentialing and contracts with all potential new payers in progress Onboarding SOP documented in ClickUp and ready to train the next hire Zero open HIPAA compliance gaps in billing or documentation workflows
