Summary

The Billing Assistant supports the accounting and administrative teams by preparing invoices, maintaining billing records, and assisting with customer account questions. This role requires strong attention to detail, organization, accuracy, and the ability to work with internal teams to ensure timely and accurate billing. Key Responsibilities • Prepare, review, and process customer invoices accurately and on schedule. • Verify billing data, supporting documentation, and account details. • Maintain accurate billing records and customer account information. • Research and resolve billing discrepancies, invoice questions, and payment issues. • Communicate with customers, vendors, and internal departments regarding billing matters. • Assist with accounts receivable follow-up, including outstanding balances and past-due invoices. • Support month-end close activities as needed. • Organize and file billing documentation in accordance with company procedures. • Support process improvements to increase billing accuracy and efficiency. • Perform other accounting or administrative duties as assigned. Qualifications • High school diploma or equivalent required; associate degree in accounting, business, or related field preferred. • Prior billing, accounts receivable, accounting, or administrative experience preferred. • Strong attention to detail and accuracy. • Proficiency with Microsoft Excel, Outlook, and general office software. • Strong written and verbal communication skills. • Ability to manage multiple priorities and meet deadlines. Preferred Skills • Professional, dependable, and customer-service oriented. • Basic understanding of accounts receivable and invoicing processes. • Strong organizational skills and ability to maintain accurate records. • Ability to work independently and as part of a team.
