Book Formatter & Proofreader (Adobe InDesign) Job Overview: The Book Formatter & Proofreader will be responsible for formatting a pre-written manuscript using Adobe InDesign. You will be tasked with setting up the document, applying consistent styles, ensuring all design elements are correctly placed, proofreading for grammar and spelling errors, and finalizing the document for print-ready output. Responsibilities: Document Setup: Confirm the final trim size of the book (5.5”x8.5”). Set appropriate margins (0.5”-1” for top, bottom, and outer edges; 1” for the inner margin or gutter). Apply a bleed of at least 0.125” (1/8”) where necessary. Organize the document layout into the required number of columns (typically 1-2). Set up master pages for consistent headers, footers, page numbers, and recurring design elements. Text Formatting: Choose appropriate fonts for body text and headings (serif fonts for body text, sans-serif for headings). Ensure proper font sizes (10–12 pt for body text, larger for chapter titles). Adjust line spacing for readability (1.15–1.5 for body text). Create and apply paragraph styles to maintain consistency across headings, subheadings, and body text. Justify text and adjust hyphenation settings to avoid awkward gaps. Apply "Keep Options" to avoid widows and orphans. Page Layout and Design: Design distinct chapter start pages and section breaks with larger fonts or different styles. Ensure page numbers are correctly placed in footers/headers. Set up running heads or footers, including the book title, chapter title, or author’s name as needed. Ensure consistent alignment and layout across pages. Images & Graphics: Ensure all images meet print-quality standards (300 DPI resolution). Place images correctly within margins, being mindful of text wrap and image positioning. Add captions where needed and ensure proper alignment. Handle image bleeds properly, extending images to the bleed margin (0.125”). Table of Contents (TOC): Use InDesign’s automatic TOC feature to link to paragraph styles for chapter titles and section headings. Format the TOC with consistent font choices and spacing. Double-check that TOC page numbers align with actual content. Front and Back Matter: Format the title page with book title, author name, and publisher info. Include necessary copyright information, ISBN number, and acknowledgments on the copyright page. Ensure proper formatting of the dedication page, if applicable. If applicable, format the index with proper page references. Proofing & Final Checks: Conduct thorough spelling and grammar checks using InDesign or external tools like Grammarly. Ensure consistent alignment, font sizes, styles, and spacing across the entire document. Perform preflight checks to ensure all fonts are available, text isn’t overset, and images are properly placed. Review the entire document to ensure accuracy before exporting the final version. Exporting & Output: Export the final document as a print-ready PDF with the correct settings (High Quality Print, PDF/X-1a:2001 standard). Ensure bleed and crop marks are included in the exported PDF. Verify that the exported file includes all necessary files (fonts, images, etc.). Name the final file according to the agreed naming convention (e.g., BookTitle_Formatted_v1.pdf). Requirements: Proven experience formatting and proofreading books, especially in Adobe InDesign. Strong attention to detail and ability to follow specific formatting guidelines. Familiarity with book layout and design principles. Proficiency in Adobe InDesign, with the ability to work with master pages, styles, and table of contents. Experience working with print-ready PDF exports. Ability to proofread and correct grammar, spelling, and consistency errors. A portfolio or samples of previous work in book formatting is preferred. Preferred Skills: Knowledge of Adobe Photoshop or Illustrator for image handling. Experience with creating both print and eBook formats. Familiarity with the publishing process, including final proofing and preflight checks.
