Bookkeeper / Finance Controller — Xero, Daily Reconciliation & Reporting (Long-term, AEST overlap)

We're a growing Melbourne-based dessert café operating at the premium end of the market. Single location currently, expansion to second location planned for early 2027. We need a meticulous Senior Bookkeeper / Finance Controller to take over daily reconciliations, invoice management, and produce accurate weekly + monthly financial reports across our systems. This is an ongoing, long-term role for the right person — not a one-off cleanup project. What you'll own (90-day outcomes) 1. Daily Xero reconciliation — bank feeds, sales, expenses, all reconciled within 24 hours 2. Invoice matching — supplier invoices matched to purchase orders and goods received (Restoke), GST treatment correct, payable schedule maintained 3. Weekly reporting (delivered Sunday by 5pm AEST) — Sales, Gross Profit, COGS, Labour Cost, Net Profit, Average Customer Spend, with brief written commentary on variances 4. Cross-system reconciliation — POS sales tally with Xero deposits, UberEats/delivery settlements reconcile, Restoke inventory ties to COGS 5. Monthly close within 10 business days — full P&L, balance sheet, variance analysis 6. Independent food cost verification — pull ingredient usage from Restoke and cross-check against the food cost % reported by operations. You report directly to the owner; your numbers are independent, not summaries of what the operations team tells you Must-haves - Xero Certified Advisor or 3+ years hands-on Xero experience (Australian business preferred) - Hospitality / F&B bookkeeping experience (you understand COGS, food cost %, labour as a % of sales) - Excel / Google Sheets — pivot tables, lookups, intermediate-to-advanced formulas - Excellent written and verbal English (you'll send weekly reports to the owner) - Reliable internet, video call capability, available for one 30-min weekly call (Sunday or Monday AEST) - Detail-oriented — invoice-level accuracy matters more than speed - Discretion and confidentiality (you'll see all financials) Bonus skills - Restoke (inventory software) experience - POS systems experience (Lightspeed, Square, Kounta, OrderUp) - UberEats / DoorDash settlement reconciliation experience - CPA or bookkeeping certification - Multi-location F&B business experience How to apply In the FIRST LINE of your application, write exactly: "Munch Spot 2026 — I reconcile daily."
