Bookkeeper for Creative Agency — QuickBooks Online (monthly reconcile + 2025 cleanup/close)

Type: Part-time / ongoing, ~5–10 hrs/month after an initial cleanup project About us: We're a small creative/production agency (Visual Boston). We run on QuickBooks Online with a live bank feed (~65–70 transactions/month) and use QuickBooks Payments for client billing. We already have a CPA who handles our tax filing and year-end — we're looking for a bookkeeper to own the day-to-day books in QBO and hand our CPA clean, reconciled financials. The work: Phase 1 — 2025 cleanup & close (fixed-scope project) - Review and correct categorization across 2025 (~800 transactions) - Reconcile all bank and credit card accounts month-by-month through year-end - Clean up the chart of accounts and vendor coding - Confirm A/R ties to outstanding invoices - Produce a clean 2025 P&L and balance sheet, packaged for our CPA to file from Phase 2 — ongoing monthly (retainer): - Monthly categorization + bank/CC reconciliation - A/R and A/P upkeep - Flag anything unusual (uncategorized, duplicates, missing receipts) - Month-end reports: P&L, balance sheet, cash position - Year-end: coordinate with our CPA through close and 1099s (CPA leads filing; you supply the clean books) Our setup / context: - QuickBooks Online + QuickBooks Payments - Payroll runs through Rippling (incl. international contractors paid via Wise — so some 1099/foreign-contractor familiarity is a plus) - Existing CPA relationship — you'll work alongside them, not replace them - We have internal tools for project budgeting and cashflow forecasting; QBO remains the system of record — you work in QBO, not our tools You are a fit if you: - Have solid QuickBooks Online experience and can reconcile to the penny - Are comfortable owning the monthly close independently and handing off cleanly to a CPA - Communicate clearly and flag issues early rather than guessing - Bonus: experience with agencies/professional services, Rippling, or international contractor payments To apply - Tell us your QBO experience and a similar client you've handled - Your rate (fixed bid for the Phase 1 cleanup + monthly retainer for Phase 2) - Your availability to start Please apply and communicate only through Upwork.
