Buildium HOA Accounting Consultant Needed – Reconcile Transition & Train Our Team

Project Goals Our objective is to ensure that Buildium matches the previous management company's books exactly as of April 30, 2026, while helping our team understand the setup, workflows, and best practices for future associations. Current Challenges We have identified several discrepancies between Buildium and the prior management company's financial package, including: Reserve Transfer Clearing account carrying a balance that should be zero Edward Jones reserve account imported with the incorrect sign Accounts Receivable balance appearing in Buildium that was not reflected in prior books Reserve contribution balances needing review Owner balances displaying delinquent status during transition Questions regarding opening balances, reserve transfers, and prior delinquencies Assistance Needed Accounting Review & Reconciliation Review Balance Sheet, Trial Balance, Income Statement, and General Ledger Compare Buildium reports to prior management reports Identify discrepancies and prepare adjusting journal entries Verify reserve transfers and reserve balances Confirm owner receivables and delinquency balances were imported correctly Buildium Review Review our Chart of Accounts Review bank account setup Review reserve structure Review owner ledger setup Confirm association was configured correctly Provide recommendations for improvements Training & Knowledge Transfer We would like someone who enjoys teaching and can walk our team through: How management companies typically monitor cash activity Whether staff should review accounts regularly or wait for bank statements Internal control recommendations Best practices for HOA monthly close procedures How previous delinquencies should be carried forward How to manage owner balances during a management transition How Buildium AI/Lumina works for reconciliation Whether bank statements can be uploaded for AI-assisted reconciliation Recommended workflows when using multiple bank accounts not connected to ePay Preferred Qualifications Experience with: Buildium HOA/Condominium Accounting CINC Systems Management company transitions Reserve accounting Monthly financial package preparation Bank reconciliations Owner receivable management Engagement Style We prefer a consultant who is willing to schedule one or more screen-share sessions and explain: Why adjustments are needed How they were identified How to perform similar reconciliations in the future We are hoping to build internal knowledge so our team can confidently manage future HOA transitions independently.
