Summary

Business Operations & Compliance Coordinator (Remote) We are looking for a highly organized and detail-oriented Business Operations & Compliance Coordinator to support multiple growing businesses. This role will initially focus on business compliance, state filings, licenses, registrations, and administrative projects, but will expand into a broader operations support role over time. This is an ideal position for someone who enjoys researching processes, working with government agencies and online portals, tracking deadlines, organizing information, and helping business owners execute important operational tasks. Initial Responsibilities Prepare and submit annual business filings Assist with state sales tax registrations and filings Track compliance deadlines and maintain filing calendars Research business license requirements and renewal processes Coordinate with accountants, bookkeepers, attorneys, and government agencies Organize and maintain business records and compliance documentation Obtain certificates, permits, and registrations as needed Monitor compliance requirements across multiple business entities Maintain organized records within Google Drive and other systems Examples of Projects Filing annual reports with state agencies Obtaining business licenses and permits Researching requirements for new business activities Assisting with dealer license applications Registering businesses in new states Tracking insurance renewals and compliance requirements Collecting and organizing documentation for accountants and tax professionals Building and maintaining compliance checklists and standard operating procedures Future Responsibilities As the role grows, responsibilities may expand into: General business operations support CRM and data management Research projects Vendor and contractor coordination Executive administrative support Document and process management Special projects and operational initiatives Qualifications Strong attention to detail Excellent written and verbal English communication Highly organized and process-oriented Comfortable researching unfamiliar topics and finding answers independently Ability to manage multiple projects and deadlines simultaneously Experience with Google Workspace, Microsoft Office, and online business portals Experience supporting U.S. businesses preferred Experience with bookkeeping firms, CPA firms, legal offices, or compliance-related work is a plus What We're Looking For We are not looking for someone who simply waits for instructions. We want someone who is resourceful, proactive, and capable of figuring things out. Many projects will involve researching requirements, identifying next steps, communicating with agencies or vendors, and driving tasks to completion. This role offers the opportunity to grow into a key operations position supporting multiple businesses and a wide variety of interesting projects.
