Summary

We are looking for a virtual assistant to assist in our daily operations: You will be reporting directly to the founder of the business. Your job will include: Key Responsibilities Founder Support * Monitor business WhatsApp and sales WhatsApp conversations * Monitor shared email inboxes * Identify urgent matters requiring Founder attention * Prepare daily priority summaries * Track outstanding actions and commitments * Remind Founder of deadlines and follow-ups Calendar & Scheduling * Schedule sales meetings * Schedule client meetings * Coordinate internal meetings * Manage calendar conflicts * Send meeting reminders * Prepare daily and weekly schedules Sales Administration * Create draft quotations using existing templates * Prepare NDAs and standard documents * Follow up on unsigned quotations * Track proposal status * Update CRM records * Maintain sales pipeline visibility Project Coordination * Attend internal meetings and record minutes * Track project milestones and deadlines * Identify projects at risk of delay * Escalate client complaints or project issues * Follow up with team members on pending tasks Client Relations Support * Log client feedback * Track maintenance renewals * Monitor client concerns * Ensure important client communications are not missed * Escalate relationship risks to Founder Reporting Prepare concise reports: Daily * Urgent items * Upcoming meetings * Outstanding actions Weekly * Sales pipeline summary * Project risk summary * Client issues summary * Renewal opportunities Success Metrics * Founder inbox maintained daily * No missed appointments * No missed follow-ups * All quotations tracked * All meetings documented * Project risks identified early * Founder spends less time on administration and more time on business development Skills Required * Strong English communication * Excellent organizational skills * Experience with Google Workspace * CRM experience preferred * Familiarity with Slack * Familiarity with WhatsApp Business * Ability to summarize information clearly * High attention to detail * Strong sense of urgency Working Arrangement Remote Part-time or full-time depending on experience. Expected availability during Singapore business hours.
