We're looking for a Business Operations Coordinator / Executive Assistant to become one of the most important members of our growing team. This role goes beyond traditional administrative support—you will help drive daily operations, coordinate technicians, support customers, maintain systems, and work directly with the Founder to help scale the business. If you're someone who loves solving problems, staying organized, and making things run smoothly, we'd love to meet you. What You'll Do 📞 Customer Experience & Call Management Answer incoming calls and provide exceptional customer service. Schedule, confirm, and manage appointments. Maintain professional communication with customers. Accurately update customer records in the CRM. 🚚 Operations & Dispatch Coordination Coordinate technician schedules and job assignments. Conduct daily technician check-ins. Ensure technicians are prepared with necessary information and materials. Help maintain smooth day-to-day field operations. 📊 Reporting & Business Support Track operational performance and key metrics. Prepare daily, weekly, and monthly reports. Maintain CRM accuracy and workflow compliance. Identify operational bottlenecks and help implement solutions. ⭐ Quality Assurance Follow up with customers after service completion. Assist with online review generation and customer satisfaction initiatives. Monitor service quality and technician performance. 👥 Team & Administrative Support Assist with recruiting, onboarding, and training coordination. Maintain employee records and compliance documentation. Support special projects and company growth initiatives. Serve as a trusted right-hand partner to the Founder. What We're Looking For ✅ Strong organizational and multitasking skills ✅ Excellent verbal and written communication ✅ Ability to work independently and make decisions ✅ Comfortable learning CRM systems and technology platforms ✅ Customer-service mindset with strong problem-solving abilities ✅ Detail-oriented, accountable, and reliable ✅ Positive attitude with a willingness to help wherever needed ✅ Experience in dispatching, customer service, operations, or administrative support is a plus Key Performance Indicators (KPIs) Appointment booking rate Call handling efficiency Customer satisfaction (NPS) Technician productivity and readiness Reporting accuracy and timeliness New hire onboarding success Schedule 🕘 Monday–Friday 8:00 AM – 6:00 PM (PST) Flexibility may be required during peak business periods.
