Summary

We are a fast-growing IT solutions and cybersecurity consulting company looking for a highly organized Business Operations Manager to help manage the back-end operations of our business. This person will help keep our company organized, compliant, and operationally clean as we continue to grow. We need someone detail-oriented, proactive, and comfortable working across sales operations, contracts, vendor/customer onboarding, CRM updates, reporting, and administrative business processes. What You’ll Be Helping With You will support and eventually own several key business operations tasks, including: Filling out new customer vendor packets Managing customer onboarding documents Sending and tracking MSAs, subcontractor agreements, W-9s, credit applications, and other business forms Coordinating signatures and making sure required documents are fully completed Helping manage cooperative purchasing contract documentation and reporting Tracking fees and reporting requirements for contracts such as TIPS and other purchasing vehicles Working with our sales team to make sure customer purchase orders, quotes, contracts, and invoices are properly aligned Making sure HubSpot CRM records are updated and accurate Creating and maintaining operational checklists and SOPs Helping prepare commission reports, gross profit reports, and sales operations reports Coordinating with our bookkeeper/accounting team as needed Keeping leadership informed of missing documents, pending action items, and operational risks Researching requirements for vendor onboarding, customer registration, and procurement-related paperwork Helping make sure the business runs cleanly behind the scenes Ideal Candidate The right person is organized, detail-driven, and comfortable taking ownership. We need someone who can follow instructions, but also see what is missing and help create better processes. You should be: Extremely organized Strong with details and follow-up Comfortable working with contracts, forms, documents, and business paperwork Familiar with CRM systems, preferably HubSpot Comfortable using Google Workspace and/or Microsoft Office Able to track multiple moving pieces without dropping items Good at written communication Proactive and willing to ask questions when something is unclear Comfortable working with sales teams, bookkeepers, customers, distributors, and vendors Nice to Have Experience with any of the following would be a major plus: IT reseller, VAR, MSP, cybersecurity, or technology company experience HubSpot CRM Sales operations Procurement support Vendor onboarding Contract administration Government, education, or cooperative purchasing processes TIPS, OMNIA, DIR, Equalis, or similar purchasing contracts Commission reporting or gross profit tracking Distributor/vendor coordination What Success Looks Like Success in this role means our backend operations are clean, organized, and no longer dependent on leadership to chase every detail. Examples of success: Vendor packets are completed accurately and on time MSAs and agreements are sent, signed, and stored properly HubSpot deals have the correct documents attached Quotes, POs, invoices, and contracts are aligned Commission and gross profit reports are accurate Cooperative contract fees and reporting requirements are tracked Leadership knows what is missing before it becomes a problem The business has repeatable processes instead of everything living in someone’s head Engagement Details We are open to starting part-time and growing the role over time for the right person. This could become a long-term position as the company continues to grow.
