On-Call Remote Intake Specialist

Responsibilities • Monitor new leads (LegalShield, referrals, Smith.ai); respond within 2 hrs. • Collect intake info (contact, county, case #, income, goals); assess payment ability & red flags. • For ongoing cases: look up docket, upload pleadings/orders into Clio Grow, summarize case status. • Draft engagement agreements (IL/MO templates), create attorney review task, send after approval. • Follow up daily until contract is signed & retainer paid; send payment link immediately upon signing. • Maintain accurate Clio Grow pipeline; no “limbo” leads. • Explain firm benefits (portal, 24–48 hr attorney response, payment plans). • Send standardized welcome email/text; communicate warmly and professionally. Reporting & Accountability • Daily Log: leads received, first contact time, contracts drafted/sent/signed, payments received. • Weekly KPI Scorecard: leads triaged, consults scheduled/completed, contracts & payments, conversion %, turnaround times, lead quality mix. • Logs & KPIs audited against Clio activity + Upwork tracker. Consistent reporting required. Schedule & Pay • On-call 8am–5pm CST (work is sporadic; only paid for active tasks). • Track time via Upwork Time Tracker (screenshots required). • $9–$12/hr USD + $25 bonus per retained client. ~10 hrs/week to start; growth possible. Requirements • Excellent English; intake/paralegal/client service background. • US law firm intake exp. preferred. • Detail-oriented, persuasive communicator. • Reliable internet + confidentiality. Deliverables • Deliverables • Daily Log (Excel/Word): • Leads received + source • First contact time (speed-to-lead) • Contracts drafted/sent/signed • Payments requested/received • Leads declined + reason • Weekly KPI Scorecard (Excel + PDF): • Leads triaged (by source) • Consults scheduled/completed • Contracts sent/signed + payments collected • Conversion % and turnaround times • A/B/C lead quality mix • Clio Grow Updates: • All leads tagged and moved in pipeline (no “limbo” leads) • Intake notes recorded (contact info, goals, payment ability, red flags) • Case documents uploaded + summarized (for existing cases) • Client Conversion Process: • Draft engagement agreements in correct template (IL/MO) • Create “Contract Review Task” for attorney • Send contract after approval, follow up daily until signed/paid • Send payment link immediately upon signing • Communication: • Standardized welcome email/text sent to all new leads • Warm, professional, persuasive client communication • Compliance: • Time tracked in Upwork Time Tracker (screenshots enabled) • Strict confidentiality of all client and firm data •
