Summary

We are a workforce solutions provider specializing in container unloading, warehouse support, packaging, machine operation, and logistics manpower services across Canada and the United States. As we continue to grow, we are seeking a detail-oriented and proactive Senior Bookkeeper & Compliance Coordinator to oversee our bookkeeping, government compliance, reporting, and year-end preparation processes. Position Summary The Senior Bookkeeper & Compliance Coordinator will be responsible for maintaining accurate financial records, preparing government remittances, reconciling accounts, and ensuring compliance with federal and provincial reporting requirements. This role will work closely with ownership and external accountants to maintain clean financial records and support strategic decision-making. This is a remote position requiring experience with Canadian accounting and compliance requirements. Key Responsibilities Bookkeeping & Reconciliations * Perform monthly bank reconciliations. * Reconcile credit card accounts. * Reconcile shareholder, intercompany, and loan accounts. * Maintain accurate general ledger records. * Review accounts payable and accounts receivable. * Investigate and resolve accounting discrepancies. * Review contractor and employee payment records. Payroll & Government Compliance * Prepare and reconcile CRA payroll remittances. * Monitor payroll liabilities and payment deadlines. * Prepare T4 and T4A schedules. * Assist with Employer Health Tax reporting. * Prepare WorkSafeBC payroll reports. * Prepare Alberta WCB payroll reports. * Support Revenue Quebec filings when required. Sales Tax Compliance * Prepare GST/HST returns. * Prepare QST returns when applicable. * Reconcile GST/HST and QST accounts. * Review transaction coding to ensure tax compliance. Financial Reporting * Prepare monthly financial statements. * Generate management reports and KPI summaries. * Review profitability by client, project, and service line. * Maintain reporting schedules and supporting documentation. Year-End Preparation * Reconcile all balance sheet accounts. * Prepare year-end working papers. * Support external CPA firms with year-end reviews and tax filings. * Respond to accountant inquiries and information requests. * Maintain organized accounting records and schedules. Compliance & Internal Controls * Develop and maintain accounting procedures. * Create monthly compliance checklists. * Ensure all government filing deadlines are met. * Review accounting entries for accuracy. * Identify financial risks and process improvement opportunities. * Recommend improvements to internal controls and reporting processes. Qualifications Required * Minimum 3 years of bookkeeping experience. * Experience working with Canadian and US corporations. * Strong knowledge of GST/HST reporting. * Experience preparing CRA payroll remittances. * Experience using QuickBooks Online. * Strong Excel or Google Sheets skills. * Excellent attention to detail. * Strong written and verbal English communication skills. Preferred * Experience with multi-company accounting structures. * Experience with staffing, logistics, transportation, or service-based businesses. * Knowledge of QST filings. * Experience with WorkSafe reporting. * Bookkeeping, accounting, or finance certification. Key Performance Indicators (KPIs) * 100% of government filings submitted on time. * Monthly financial statements completed by the 15th of each month. * Bank and credit card reconciliations completed monthly. * Zero unresolved reconciliation items over 30 days old. * Year-end package prepared and delivered to CPA on schedule. * Less than 1% accounting error rate. Working Hours * Remote position. * Flexible schedule. * Availability during North American business hours preferred. Approximately 20 hours per week depending on workload and qualifications.
