TLDR: The effective hourly rate is 12-15 USD per hour. You are doing upto 5 sessions per week but annually adjusted for vacations and so on its on an average 3-4, with reminders and checkins daily. Some people are bad at check ins and spend about 1-2 hours per day some are very efficient and get it done in 30 mins per day + data entry. So they spend about 4-5 hours per week while I do gym they do check in and have saved prompts. You are dragging to the gym, and running routines and other classes ensuring I visit. The timing for sessions ranges from 730-930 or upto 1030 PM EST sometimes but the main patience / contractual availability point is usually that I workout from Thu to Sun sometimes other days too, so its like I have reserved a 2-2.5 hour band, especially on Sunday. Folks from Americas and Phillipines are both welcome to apply. Phillipines is easier as its morning for them. Americas people if they have a normal life in evening and workout themselves then, then they can do it. About the Role The Fitness & Mini Accountability Coordinator supports structured fitness execution and core daily routine compliance. This role focuses on consistency, tracking, and follow-through, ensuring workouts and essential health routines are executed and logged accurately. This is not a general VA or administrative role. The scope is limited to fitness and defined non-work daily routines only. Key Responsibilities Fitness Accountability Enforce workout start times, completion, and minimum duration Track weekly workout frequency and cardio/movement compliance Support execution consistency during travel or schedule disruptions Mini Accountability Confirm daily hydration and protein intake Confirm assigned medication and supplement intake Support sleep and wake-up routine compliance Track core health routines consistently Tracking & Reporting Maintain KPI dashboards (Google Sheets) Produce weekly and month-end summaries Log confirmations and outcomes accurately and on time Included domains: Sleep and wake-up compliance Hydration tracking Medication and supplement adherence Basic daily routine confirmations And as needed more, within defined non-work routine scope Availability Requirement Must be available and responsive between 7:00 PM – 11:00 PM EST 1-1.5 hours 3-5 days a week, reminders other days. This window is reserved for enforcement, check-ins, logging, and summaries Limited check-ins outside this window may occur as required Tools Used WhatsApp (primary communication) Google Sheets (tracking and summaries) Fitness tracking apps (reference only) KPI Failure & Breach Conditions Internal KPI Failure Summary: Missed or incomplete workouts, late or shortened sessions, missed confirmations (wake-up, sleep, hydration, intake), or failure to log, enforce routines, escalate non-compliance, or deliver summaries are tracked weekly. Breach Thresholds: Repeated, consecutive, or pattern-based failures within a rolling week trigger action. Consequences: Affected sessions or weeks may be unpaid, with written warnings issued for logging, confirmation, or escalation failures. Contract Notes Monthly milestone-based engagement Hours are guidelines to support deliverables (logs, summaries, reports) NDA and onboarding requirements apply This is 250$ X 12 upon month close and reports submitted. This is annual position. Role Expectations: Questions and Answers Q: How many total hours per week are expected, including reminders, documentation, reporting, Loom training, and all other activities? A: The estimated workload is approximately 4–8 hours per week. Someone who works quickly may complete the responsibilities in 3–6 hours, while someone who works more slowly may require 7–12 hours. Q: How does the monthly milestone payment work? Is the $250 released each month after the required reports and deliverables are completed? A: Yes. The $250 milestone payment is released at the end of each month after the required reports, documentation, and deliverables have been completed. Q: How do the performance-based deductions work? Do they apply only when the contractor does not fulfill responsibilities such as reminders, documentation, reporting, sessions, and training videos? A: Performance is mainly evaluated based on reminders, reporting, session support, documentation, and training videos. Up to 25% of the payment may be performance-based. Payment will not be reduced solely because the client fails to follow their routine, provided the contractor has completed the required responsibilities correctly. For a missed client session, the contractor should have completed approximately 4–5 reminder messages and three calls. Both the client and contractor are allowed two cancellations per month. The goal is to complete at least three sessions per week, with four sessions being ideal. If the client completes fewer than two sessions per week, the gym arrangement may be cancelled or paused. When the contractor has completed all required reminders and follow-ups, client noncompliance will not affect payment. Q: Does the estimate of 1–2 hours maximum per day include all check-ins, reminders, documentation, reporting, and tracking tasks combined? A: Yes. The 1–2-hour estimate includes all related activities. Much of the work can be completed while the client is doing cardio, and reminders should become part of a natural workflow. Q: What are the expected working hours for reminders and sessions? A: Some reminders may be required between 8:00–11:00 AM EST and 6:00–11:30 PM EST. Evening reminders should normally be sent approximately 30 minutes before a scheduled session. Session start times may move within a three-hour window, generally between 7:30 PM and 9:30 PM EST. Q: Will daily check-ins and reminders be handled through messages, or are calls also required? A: Most daily communication will take place through WhatsApp. The contractor will also be responsible for completing an Excel tracking sheet. Calls may be required when the client does not respond or when additional follow-up is necessary. For a missed session, up to three calls may be expected in addition to the reminder messages. Q: Can payment be reduced because the client does not complete workouts or follow the routine? A: No. Payment should not be reduced solely because of client noncompliance when the contractor has correctly completed all required reminders, follow-ups, documentation, reporting, and escalation procedures. Q: What happens if the engagement ends? A: The contractor should provide reasonable notice, complete all necessary documentation, create the required handover or training videos, and support a smooth transition. The final month’s payment will still be provided. Ideally, the contractor will also assist with onboarding a replacement by providing approximately 1–2 hours of training. The contractor may support the transition process but is not responsible for recruiting or guaranteeing a replacement.
