Claude AI Automation Expert Needed for Ongoing Admin Workflow Automation

We are looking for a practical, experienced Claude / AI automation expert to work closely with us on an ongoing basis to help automate workflows inside our admin services business. We support multiple trade/service businesses and currently handle a lot of admin, job management, data entry, work order creation, commission calculations, reporting, and client support tasks. We are looking for someone who can help us turn these repetitive workflows into reliable AI-assisted systems. This is not a one-off project. We are looking for someone who can help us create, improve, maintain, and troubleshoot automation workflows over time. What we need help with We are looking to automate and improve workflows such as: Material receipting into job management software, particularly Simpro Job entering and job setup Work order creation Contractor/admin task allocation Commission and profit-share calculations Data entry and data checking Uploading or extracting information from documents, invoices, emails, spreadsheets, and job notes Building AI-assisted admin workflows Creating internal bots or assistants that can act as an “admin brain” for our clients and team Helping clients ask questions and retrieve information from business systems or internal documents Identifying other areas where AI can reduce manual admin work The ideal person We are looking for someone who: Has strong experience with Claude, AI agents, prompts, projects, artefacts, MCP, or similar AI workflow tools Understands business admin workflows, not just technical AI theory Can work with messy real-world business processes and help simplify them Has experience with tools such as Zapier, Make, Airtable, Google Sheets, Excel, APIs, CRMs, job management software, or automation platforms Can help design practical systems that are reliable, repeatable, and easy for non-technical staff to use Can document workflows clearly Can assist with ongoing maintenance, improvements, and troubleshooting Is comfortable working directly with a business owner to scope ideas, test workflows, and improve them over time Experience with Simpro would be highly regarded, but is not essential if you are confident learning systems quickly. Examples of possible projects Some examples of what we may work on together include: An AI-assisted workflow that reads supplier invoices and receipts materials against the correct job A process for creating work orders from a spreadsheet or email instructions A commission calculator that pulls from job data and applies agreed rules A bot that answers admin questions for clients based on SOPs, job data, emails, and internal knowledge A data entry assistant that checks information before it is entered into Simpro or a spreadsheet A workflow that turns email requests into structured tasks or job entries Internal admin dashboards or reporting workflows What we are looking for in the first stage Initially, we would like someone to: Meet with us to understand our admin business and current workflows Identify the best automation opportunities Recommend the right tools and structure Build a first practical workflow or prototype Help us test, refine, and then maintain it Important We are not looking for someone who just gives generic AI advice. We want someone who can work hands-on, build practical workflows, and stay involved as we continue to improve the systems.
