About us: We're a US-based digital marketing agency serving PowerSports and Marine dealerships. 40+ active clients, 12-15 team members across SEO, Google Ads, Meta Ads, QC, Vehicle Ad production, client success, and operations. We need a ClickUp expert to architect, build, and launch our full company workspace so the whole team can start using it BEFORE END OF JUNE. What we need: A senior ClickUp architect who can take ownership of the build end to end. We have a draft blueprint (Spaces as Departments, Folders as Clients, Lists as Services, Tasks as Work Items) but we are openly flexible. If you see a better architecture given ClickUp's real platform constraints, we want your recommendation. We are not the experts. You are. Tell us what works. Scope: - Workspace architecture across 7 functional areas including Client Operations, Client Onboarding, Vehicle Ad Production (6-person assembly line, 31 dealers, 18-30 vehicles per dealer per month), Reporting & Analytics, - Internal Operations, R&D, and Vendors/Tools knowledge base - 40+ client folders with multiple service workstreams per client (SEO, Google Ads, Meta Ads, GBP, Smart Email, Reviews, CRM, Retargeting, Vehicle Ads) - Multi-location client groups (one has 7 locations, others 2-3) with parent-child rollups - Universal status pipelines plus service-specific extensions - Custom fields, views, dashboards, and automations - Role-based assignments only, never tied to individual names - Discovery sessions with team leads, full build, testing, handoff documentation, and training Hard constraints: - Native ClickUp automations first - Free-tier Zapier, Make, or n8n acceptable only where ClickUp natively cannot do the job - Free Google APIs (GSC, GA4) acceptable - No new paid subscriptions without our approval - Must work within ClickUp Business plan limits (List caps, folder-level field limits, formula field output restrictions, Task Mirroring behavior) Timeline (firm): Kickoff: week of June 16, 2026 Build (LIVE PREFERRED) and tested: June 25/26, 2026 Full company rollout and team adoption: June 29, 2026 You're a strong fit if you: - Are ClickUp Verified Consultant or have verifiable equivalent experience (portfolio, references, past builds at similar scale) - Have built ClickUp workspaces for agencies or operations-heavy businesses with 30+ clients - Know ClickUp's real platform limits cold (List caps per Space, why folder-level custom fields don't exist, how Task Mirroring inherits pipelines, why formula fields can't write to native Due Date, why "Blocked" must be an Active status type not Closed, why duplicate Hours fields corrupt Workload) - Can run discovery with non-technical team leads and translate their workflows into ClickUp structure - Deliver handoff documentation so a non-expert internal team can maintain and extend the build - Work async-friendly across US and international time zones (PST PREFFERED) - Communicate in clear, plain English What to include in your proposal: - Mention CU-EX in start of proposal - Your proposed approach to the architecture given our scale (40+ clients, 12-15 team, 200 List cap reality) - Total hours estimated and how they split across discovery, build, testing, training, handoff - Your rate and total cost (TOTAL HOURS) - 1 or 3 past ClickUp builds at similar scale with links or screenshots - Confirmation you can hit the June 25/26 build-complete and June 30 rollout dates - One thing you would change about our draft architecture and why Budget & engagement: - Open to hourly or fixed-price. Quote what's fair for the scope and timeline. We value the right expert over the cheapest bid. - NDA required before access to internal documents.
