ClickUp Architect — Build Our Agency Operating System From Scratch

We're a premium marketing consultancy looking for a senior ClickUp specialist to design and build our entire workspace from zero, and to think with us, not just execute. This is a strategic build, not a data-entry job. We have a defined 10-phase client delivery framework, a full SOP library (~20 documents), and a clear team structure. We need someone who can translate all of that into a clean, scalable ClickUp system that becomes our single operating system (it will replace WhatsApp for all work). Scope of work: Architecture from scratch — design and build the full Space/Folder/List hierarchy: an internal ops area, a knowledge base, a sales pipeline, and a client delivery area driven by a reusable client folder template. SOP review & optimization (collaborative) — work through our existing SOPs with us on calls, advise where they can be simplified, merged, or better operationalized inside ClickUp, and translate them into task structures, checklists, and templates. We value consolidation over bureaucracy. Permissions & access design — set role-based permissions and visibility (leadership, account managers, designers, freelancers) so the right people see the right things and SOPs stay locked from editing. Hierarchy & client template — build a standardized, reusable client folder template with lists, custom statuses, and custom fields covering the full delivery lifecycle. Schedules & recurring work — set up recurring tasks, reporting cadences, and scheduling logic (e.g. monthly reports, weekly stand-ups). Automations & triggers — design status-change triggers, assignment routing, deadline and reminder automations, and any logic that reduces manual coordination. Views — build cross-client and per-role views (this week, QC queue, awaiting client response, workload, etc.), filtered and grouped correctly. QA + handover — test the full system end-to-end (spin up a test client folder, confirm everything fires), then deliver a documented walkthrough (Loom + short written guide) and a short team training session. You're a strong fit if you: Have architected ClickUp workspaces for service businesses or agencies from scratch (share 2–3 examples) Are an expert in ClickUp 4.0 — hierarchy, permissions, automations, custom fields, views, templates Can advise on process design, not just click buttons — we want opinions and pushback Communicate clearly, work from and contribute to written specs, and document your work This is a collaborative engagement with several working calls. We'll share our framework and SOPs on hire.
