ClickUp Data Entry Specialist

About This Role A growing civil engineering, land surveying, and site planning firm is transitioning from a legacy paper-based job tracking system into ClickUp, a modern project management platform. We need a detail-oriented, technically capable contractor to migrate historical job data from QuickBooks and physical records into our newly built ClickUp workspace, and to validate that every record is accurate and complete. This is a short-term, high-precision data project. You will not be designing the system — the ClickUp structure, fields, and workflows are already built. Your job is to populate it correctly and catch errors before they become permanent. What You'll Be Doing Reviewing historical job records currently stored in QuickBooks (job numbers, client names, addresses, services rendered, invoice amounts, and dates) Manually entering each historical job into our ClickUp "Archive / Completed" list using our established field structure and naming conventions Cross-referencing entered data against QuickBooks to confirm accuracy — job numbers, dollar amounts, and client names must match exactly Flagging any discrepancies, missing information, or incomplete records for review rather than guessing or leaving fields blank Linking each migrated job to the correct Client and Contact records in our CRM, creating new CRM records where ones don't yet exist Following a strict naming convention and field-by-field data entry standard (you will be provided a detailed style guide before starting) Conducting a final QA pass across all migrated records to confirm completeness before sign-off Communicating progress regularly and asking clarifying questions when source data is ambiguous, incomplete, or contradictory What We're Looking For Prior experience using ClickUp, Asana, Monday.com, Notion, or a similar project management / database tool — you should be comfortable with custom fields, relational data, and list-based databases Experience with QuickBooks Online (reading and referencing data — you will not need to create or modify accounting records) Strong attention to detail — this role is 90% accuracy and 10% speed. We need someone who double-checks their work Comfortable working independently from a written style guide with minimal day-to-day supervision Strong written communication — you'll need to clearly flag issues, ask questions, and summarize progress Experience with basic spreadsheet work (Excel or Google Sheets) for cross-referencing data Prior experience in real estate, construction, engineering, surveying, or a related industry is a plus but not required Must be comfortable handling sensitive business and financial data with discretion What Success Looks Like By the end of this engagement, every historical job currently tracked in QuickBooks will have a corresponding, fully populated record in ClickUp — correctly linked to its client, accurately reflecting dollar amounts and services performed, and validated against the original source data with zero discrepancies.
