ClickUp Power User & Operations Implementation Specialist

We are seeking an experienced ClickUp Power User to design, implement, optimize, and manage our ClickUp workspace. This role will be responsible for building project management systems, creating workflows, implementing automations, training team members, and ensuring organization-wide adoption of ClickUp as our primary operations platform. The ideal candidate combines strong project management expertise with technical proficiency in ClickUp, process design, automation, reporting, and team training. Key Responsibilities ClickUp Workspace Design & Setup • Configure and optimize ClickUp Spaces, Folders, Lists, Tasks, and Custom Fields. • Design scalable project management systems aligned with organizational workflows. • Create templates for recurring projects, tasks, and operational processes. • Establish task structures, statuses, priorities, dependencies, and workload management systems. • Configure dashboards and reporting systems for leadership and team visibility. Project Setup & Management • Translate organizational processes into ClickUp workflows. • Set up and launch new projects, initiatives, and operational programs. • Build project plans, milestones, timelines, and task dependencies. • Develop standardized project management methodologies within ClickUp. • Monitor project progress and ensure data accuracy. Automation & Process Optimization • Design and implement ClickUp automations to reduce manual work. • Integrate ClickUp with other business tools where appropriate. • Create automated workflows for task assignments, status updates, notifications, approvals, and recurring processes. • Identify operational bottlenecks and recommend workflow improvements. • Continuously optimize workspace structure and processes as organizational needs evolve. Team Training & Adoption • Develop and deliver ClickUp onboarding and training programs. • Create SOPs, user guides, and best practice documentation. • Conduct workshops and one-on-one coaching sessions. • Support team members in adopting ClickUp effectively. • Serve as the internal ClickUp subject matter expert. Reporting & Analytics • Build executive dashboards and performance reporting systems. • Track project health, team productivity, and operational KPIs. • Generate regular reports for leadership. • Recommend process improvements based on data and usage trends. Ongoing Administration • Manage user permissions, access levels, and workspace governance. • Maintain workspace organization and data integrity. • Stay current with new ClickUp features and recommend implementation opportunities. • Troubleshoot workspace issues and provide user support. Required Qualifications • 2+ years of advanced ClickUp administration and implementation experience. • Demonstrated experience building and managing complex ClickUp workspaces. • Strong understanding of project management methodologies and operational workflows. • Experience creating ClickUp automations, dashboards, templates, and custom workflows. • Ability to train and support users with varying levels of technical proficiency. • Strong analytical, organizational, and problem-solving skills. • Excellent written and verbal communication skills. Preferred Qualifications • ClickUp Verified Consultant status or equivalent experience. • Experience with business process improvement and operations management. • Knowledge of integrations using Zapier, Make, API connections, or similar automation platforms. • Experience implementing project management systems for teams of 10+ users. • Familiarity with CRM, marketing, operations, and executive reporting workflows. Key Performance Indicators (KPIs) • Successful implementation of ClickUp workflows and systems. • Team adoption and usage rates. • Reduction in manual administrative work through automation. • Accuracy and timeliness of project reporting. • User satisfaction and training effectiveness. • Improvement in project visibility and operational efficiency. Engagement Type • Contract, Part-Time, or Full-Time (depending on organizational needs) • Remote preferred • Flexible hours with availability for team training and implementation meetings Deliverables During First 90 Days 1. Complete audit of current workflows and operational processes. 2. Design and implement optimized ClickUp workspace architecture. 3. Set up project templates and standard operating workflows. 4. Build dashboards and executive reporting systems. 5. Implement priority automations and integrations. 6. Train all team members and establish adoption standards. 7. Deliver documentation and governance framework for ongoing management.
