About Holistic Money Holistic Money helps med spa and aesthetics business owners take control of their finances and run healthier, more profitable practices. Our CFOs work closely with clients day in and day out — and this role exists to make that work smoother on both sides. The Role This is a hybrid client onboarding + operations support position. Part of your time is client-facing: helping new and existing clients get set up with software, get access to their systems, and move information in and out of their EMR (Electronic Medical Records) platforms. The other part is behind the scenes: acting as a virtual assistant to our CFOs and handling the operational tasks that keep their day-to-day running. You're the person who makes sure nothing falls through the cracks — whether that's a client who needs help logging into a new tool, a vendor relationship that needs tending, or a CFO who needs information pulled together before a client meeting. What You'll Do Client onboarding & software support Help clients get access to and set up the software they need to work with us Help move information in and out of EMR systems accurately and on time Walk clients through software setup and troubleshoot issues as they come up Chase down and collect the information we need from clients to do our work Vendor relationships Build and maintain relationships with EMR software vendors so we always have a reliable support contact when clients hit a wall Operations & CFO support Act as a virtual assistant to our CFOs, handling operational and administrative tasks that support their day-to-day client work Keep onboarding and client information organized so the team can move quickly Document recurring questions and processes so support gets faster over time What We're Looking For Software-savvy. You pick up new platforms quickly and aren't intimidated by learning a client's EMR or other tools from scratch Client-facing and personable. You're comfortable guiding clients through setup and following up to get what you need — patiently and professionally A natural relationship builder. You turn one-off interactions into dependable, ongoing connections, with both clients and vendors Energetic and excited about the med spa / beauty industry. You bring genuine enthusiasm for the space our clients work in Organized and proactive. You follow through, keep track of open items, and don't let things slip Service-minded. You genuinely like helping people and making other people's jobs easier Fluent in English. Clear, confident written and spoken communication Polished on camera. Professional on client-facing video calls, with a clean, professional on-camera appearance Set up for focused work. Comfortable working from a quiet, distraction-free workspace Nice to Have Experience supporting or working with EMR / practice-management software Background in the med spa, aesthetics, healthcare, or SaaS / financial services space Prior experience in onboarding, client success, customer support, or as a virtual / executive assistant
