Position Summary The Client Operations Support Specialist plays a key role in supporting Kyo’s clients, families, and operational teams through a variety of administrative and coordination functions. This position assists with client onboarding, authorization submissions, and office facility support to ensure seamless service delivery and operational efficiency. The role serves as a vital liaison between clients, families, insurance providers, clinical teams, and operational partners, helping to create an exceptional client experience while supporting Kyo’s day-to-day operations. Key Responsibilities Support the client intake and onboarding process, including gathering required documentation, initiating onboarding communications, and ensuring data accuracy in Kyo’s systems. Assist with insurance authorization and reauthorization submissions, tracking authorization status, maintaining documentation, and escalating issues as needed to ensure continuity of services. Provide scheduling support, including coordinating client appointments, managing schedule changes, and resolving scheduling conflicts. Communicate effectively with clients, families, insurance providers, and clinical team members to confirm scheduling needs, authorization requirements, and share timely updates. Utilize the Kyo Care platform and other internal systems to manage client records, schedule requests, authorizations, and documentation. Track and maintain logs related to client intake, scheduling, and authorization activities. Support office facility operations by coordinating facility-related requests, monitoring office supply needs, assisting with vendor communications, and helping maintain a safe and organized office environment. Collaborate with client services, scheduling, authorizations, facilities, and clinical teams to ensure continuity of care and operational excellence. Assist in special projects and administrative tasks to support overall client operations as needed. Proactively foster positive relationships with clients and their families, reinforcing Kyo’s commitment to high-quality service and support. Other job tasks determined throughout position.
