Cold Email Automation System Manager & Growth Specialist – n8n / Instantly / Lead Magic

About the Role We run a done-for-you recruitment business and have a fully built outbound lead generation system that needs a dedicated manager to keep it running, optimised, and scaling. The system is already built and documented — we’re not looking for someone to build anything from scratch. We need someone who can own it weekly, keep it healthy, improve performance, and help us grow volume and hot leads over time. Full training resources, SOPs, and Loom walkthrough videos are provided. The Stack • n8n (automation workflows) • Instantly (email sequencing and deliverability) • Lead Magic (lead enrichment) * Claude • Notion (documentation and reporting) What You’ll Do System Management • Weekly audit of the full system — leads flowing in, sequences firing correctly, no workflow errors • Monitor email deliverability, open rates, and reply rates in Instantly • Ensure the right candidate profiles (MPCs) are being matched and sent to the right lead profiles • Flag any issues immediately and resolve where possible • Send a simple weekly report: what’s working, what’s not, what’s been changed Growth & Optimisation • Increase daily send volume safely — expand sending infrastructure (domains, inboxes) without hurting deliverability • Continuously load fresh, high-quality leads aligned to our ICP • Test and iterate on messaging and sequences to improve reply rates and lead quality • Identify opportunities to improve targeting, personalisation, and conversion from reply to booked call • Scale what’s working, fix what isn’t What We’re Looking For • Solid hands-on experience with n8n (essential — please share examples) • Experience managing and scaling cold email infrastructure in Instantly • Comfortable with lead enrichment and list building tools • Understands deliverability — domain warmup, inbox rotation, sending limits • Data-driven — makes decisions based on open rates, reply rates, conversion • Proactive — spots problems and opportunities before we do • Clear communicator, concise weekly updates, no hand-holding needed • Recruitment or B2B sales outreach background is a strong bonus Commitment Approximately 3–5 hours per week to start, with clear scope to grow as results improve.
