E-Commerce Virtual Assistant (Product Listings, Inventory & Operations Support)
Worldwide
Project Overview: We are looking for a reliable, detail-oriented E-Commerce Virtual Assistant to support our E-Commerce Manager. Your main focus will be keeping our store running smoothly by managing product listings, monitoring inventory levels, and assisting with operational workflows. If you are highly organized, a proactive problem-solver, and experienced with e-commerce platforms, we want you on our team. Key Responsibilities: Listing Management: Create new product listings, update existing ones, and ensure all titles, descriptions, images, and prices are accurate and optimized. Inventory Tracking: Monitor inventory levels across our store and sync them accurately with our backend systems or spreadsheets. Onboarding Support: Assist with the onboarding process (for new products, brands, or suppliers) by strictly following the instructions and checklists provided by the E-Commerce Manager. Proactive Problem Solving: Actively look for solutions when listing errors, inventory discrepancies, or platform issues arise, rather than just waiting for instructions. Restock Alerts: Notify the E-Commerce Manager when stock is running low and update the store when new inventory arrives. Quality Control: Audit the website regularly to catch out-of-stock items, broken variants, or formatting errors. Requirements: Proven experience working as an e-commerce assistant. Strong understanding of how product variants (size, color, SKUs) and inventory tracking work. Highly resourceful with a "figure it out" mentality; you are comfortable identifying solutions to platform roadblocks. High attention-to-detail accuracy is critical for our inventory and onboarding processes! Proficient with spreadsheets (Excel/Google Sheets). Excellent communication skills and the ability to strictly follow standard operating procedures (SOPs). How to Apply: To be considered for this role, please provide the following: A 3-Minute Video: Record a brief (up to 3 minutes) face-to-camera video introducing yourself, explaining your specific experience with e-commerce listings and inventory, and providing an example of how you solved a problem on the job. (You can share an unlisted link via Loom, Google Drive, YouTube, etc.). Your Resume: Attach your up-to-date resume strictly in PDF format. Attention Check: Put the word "Inventory" at the very beginning of your proposal so I know you read this entire description.
