Community Operations & HighLevel Virtual Assistant

Community Operations & HighLevel Virtual Assistant HighLevel | Community Management | Events | Email & SMS | Administrative Support We are looking for a highly organized, proactive virtual assistant to support the operations of a growing women’s community and membership organization. The Collective is a relationship-driven community that brings women together through local chapters, networking events, educational programming, special experiences, collaborations, and membership opportunities. We are growing quickly, and we need someone who can help keep the systems behind the community running smoothly. This is not primarily a social media role. We are looking for someone who enjoys being the person behind the scenes making sure the details actually get done. What You’ll Help With Your responsibilities may include: * Managing and updating our HighLevel CRM * Creating and updating workflows * Loading email and SMS communications * Setting up event registration pages and forms * Creating tags, custom fields, and contact segments * Managing event reminder automations * Updating calendars and event information * Maintaining membership automations * Updating our AI knowledge base with current information * Testing forms, links, workflows, and automations * Organizing member and event data * Updating pipelines and opportunities * Creating simple landing pages inside HighLevel * Helping maintain SOPs and internal documentation * Supporting recurring chapter and community communications * Preparing systems for new events, programs, sponsors, and collaborations * Handling miscellaneous administrative tasks associated with operating a growing community A Typical Assignment Might Look Like This Our team provides: “We have an event on September 3. Here is the event information, registration link, member/nonmember pricing, email copy, SMS copy, and communication schedule.” You would then: Set up the event inside our system, create or update the appropriate workflows, load the communications, segment the correct audience, test everything, schedule it, and confirm that it is ready. We want to be able to hand you the pieces and trust you to put them into the system correctly. HighLevel Experience Experience with GoHighLevel / HighLevel is strongly preferred. You should be comfortable with: * Contacts * Tags * Custom fields * Forms * Workflows * Email * SMS * Calendars * Funnels * Opportunities/pipelines * Membership or community automation You do not need to be an advanced developer. You do need to be comfortable learning an existing HighLevel account and working carefully inside a live system. Who Will Thrive in This Role You are probably a great fit if you: * Are extremely organized * Follow instructions well * Catch small details * Enjoy checklists and repeatable processes * Can figure things out without needing constant supervision * Ask questions when something genuinely does not make sense * Understand deadlines * Test your work before saying it is complete * Are comfortable working in a business where priorities can move quickly * Enjoy creating order behind a growing organization We especially value someone who sees a recurring task and thinks: “We should probably create a process for this so we don’t have to reinvent it next time.” What This Role Is NOT We are not looking for someone to determine the vision or direction of the community. We are also not looking for someone to completely redesign our technology stack. The strategy, brand, programming, relationships, and overall direction are handled internally. We need someone who can help us execute consistently. Potential for Growth We would like to begin with a paid trial project. For the right person, this can become consistent ongoing work as The Collective continues to grow. There is also potential for expanded responsibility over time for someone who learns our systems, understands our community, and becomes a trusted part of our operations. To Apply Please answer the following: 1. What experience do you have with HighLevel/GoHighLevel? 2. Have you supported a membership organization, community, event company, or similar business? 3. What recurring administrative or operational tasks have you managed for previous clients? 4. Describe a workflow or automation you have personally built in HighLevel. 5. How do you make sure scheduled emails, SMS, workflows, and registration links are correct before they go live? 6. How many hours per week are you currently available? 7. What time zone do you normally work in? Please begin your proposal with COLLECTIVE so we know you read the entire posting. Bonus: Send us a short Loom introducing yourself and showing us something you’ve built or managed inside HighLevel.
