Construction Bookkeeper & QuickBooks Expert for VZ Electric

VZ Electric, Inc. is an electrical contractor based in Santa Ana, California, seeking immediate assistance catching up on and managing its financial operations. Responsibilities include QuickBooks maintenance, customer billing, accounts receivable, vendor bills and payments, payroll coordination, bank and credit-card reconciliations, job costing, Excel reporting, and weekly cash-flow reporting. Initial Priorities * Review our current QuickBooks records and identify urgent issues. * Organize completed but unbilled work orders. * Bring customer billing and accounts receivable up to date. * Reconcile vendor bills and prepare payment-priority reports. * Review payroll records and upcoming deadlines. * Bring bank and credit-card reconciliations current. * Establish accurate job-costing and financial-reporting procedures. * Prepare a written action plan for incomplete or missing items. Ongoing Responsibilities * Prepare invoices using work orders, purchase orders, technician reports, and supporting documents. * Track unpaid invoices and assist with collection follow-up. * Enter vendor bills and reconcile vendor statements. * Prepare vendor payments for owner approval. * Coordinate employee time records and payroll. * Maintain accurate QuickBooks records. * Track labor, materials, and subcontractor costs by project. * Prepare weekly accounts-receivable, accounts-payable, cash-flow, and priority reports. * Maintain organized electronic financial and project records. * Participate in weekly meetings with the company owner. Required Qualifications * Minimum of five years of bookkeeping or accounting experience. * Previous experience with construction, electrical, HVAC, or another service-trade contractor. * Strong QuickBooks and Microsoft Excel skills. * Experience with accounts payable, accounts receivable, payroll, bank reconciliation, and job costing. * Familiarity with California payroll practices is strongly preferred. * Must be able to speak, read, and communicate professionally in both English and Spanish. * Must be organized, dependable, proactive, and capable of working with limited supervision. * Professional references and confidentiality are required. * QuickBooks ProAdvisor certification is preferred. Position Details * Remote position initially. * Must be available during agreed Pacific Time business hours. * Approximately 20–30 hours per week during the initial catch-up period. * Must be available to begin immediately. * Long-term, contract-to-hire opportunity. * United States-based applicants preferred; Southern California applicants are strongly preferred. The selected professional will prepare payroll and vendor payments, but VZ Electric’s owner will retain final approval over payroll submissions, payments, bank transfers, and changes to financial authority.
