Walk us through the specific questions you would ask a masonry or concrete business on a first call to understand what they actually do, judge whether they are qualified, and categorize them correctly for our roster. ROLE OVERVIEW We are hiring an experienced construction Project Manager to own our subcontractor and vendor bench. This is a senior role focused on sourcing, vetting, and onboarding the subcontractors and vendors that keep our jobs moving. Your calendar will be filled with scheduled calls: reaching out to subs and vendors, running a first pass vetting, capturing what production needs, and handing qualified partners forward with clear notes. You are not managing clients or running individual jobs. That sits with the production team. You report to the Production Lead and turn raw outreach into vetted, ready to use relationships. KEY RESPONSIBILITIES 1. Subcontractor Sourcing & Vetting Own the subcontractor bucket from start to finish. Take handoffs from cold outreach, follow up relentlessly by call, text, and email, and keep every prospective sub moving forward. Run first pass vetting on new subcontractors: confirm trade, capacity, pricing posture, licensing, insurance, and references, and flag anything that does not look right. Build and maintain a deep bench in the trades we sell most, with masonry, concrete, and structural as the top priorities, so production always has multiple options in every category. Eat, sleep, and breathe follow up. Nothing stalls in your pipeline because you did not call back. 2. Vendor & Trade Partner Development Source and vet the full range of vendors the company relies on beyond core subs, including soils engineers, structural engineers, surveyors, landscape designers, general contractors for small job referrals, permitting companies, leak detection companies, deck companies, and others as needs arise. Work from a ranked priority list (subcontractors first, then structural, then supporting trades and specialty vendors) and drive down the list so the biggest gaps get filled first. Do your own research to find candidates and work from lists provided by leadership, running the same vetting and onboarding process across every category. Keep relationships warm. The long term goal is a roster strong enough that production can call a partner, get a rough number in 1 to 2 days, and move. 3. Preliminary Vetting & Handoff to Production Serve as the first filter. Run a structured first conversation, capture scope, pricing, availability, and fit, and decide whether a partner is worth advancing. Package what you learn into clear, consistent notes so production can pick up any relationship without starting from zero. Hand off qualified subs and vendors to the production team with the context they need, and stay available for follow up questions. 4. Follow Up, Compliance & Record Keeping Own follow up communication across your entire pipeline. No sub or vendor waits on you. Track and confirm compliance items (licensing, insurance, agreements, and any required documentation) before a partner is cleared for work. Keep subcontractor and vendor records accurate and current in the company systems so the full team has real time visibility. Help drive adoption of the company's new CRM and production stack as it rolls out. 5. Bid & Pipeline Coordination Follow up on outstanding bid requests so pricing comes back on time and nothing sits idle. Chase quotes and confirmations from subs and vendors, and surface delays to the Production Lead early. Keep the pipeline organized and visible so leadership always knows the state of the bench. IDEAL CANDIDATE PROFILE You are an experienced construction Project Manager who has managed projects and subcontractor relationships at a real company and can now bring that depth to a focused role. You have seen every sub excuse in the book and know how to handle it calmly and professionally. You are organized, persistent, and comfortable working through a full calendar of calls every day without losing track of details. You do not need to be the most technical person in the room, but you have the construction fluency to talk credibly with subs and vendors, ask the right questions, and know immediately when something is off. REQUIRED EXPERIENCE Industry Background Project management experience in general contracting, a specialty trade, or a similar high volume construction environment where you managed multiple projects and subcontractor relationships simultaneously. Enough construction knowledge to understand a scope, ask sharp questions about pricing and capacity, and recognize a weak or risky partner early. Familiarity with the trades we work with (masonry, concrete, structural, and related site and specialty work) is a strong plus. Experience at a company doing $4M to $15M annually is ideal. You know what it means to move fast, stay organized, and keep a high volume of relationships on track without dropping the ball. Functional Experience Proven track record sourcing, vetting, and coordinating subcontractors and vendors, including scheduling, scope communication, and follow up. Comfortable making a high volume of outbound calls and working a full calendar of scheduled calls every day. Organized and detail oriented, with a clean paper trail and nothing slipping through. Comfortable in a modern CRM and quick to adapt as systems change. Able to work independently and manage your own list without being told what to do next.
